Job description

HR Generalist

Responsible for managing the day-to-day administrative operations for the Human Resources department, including but not limited to administrative, ADP time clock and HTHU technical support for systems, processes, communications, meetings, and other related activities.

Contacts and interactions vary and may involve multiple constituencies such as direct interaction with TH's executive management, community organizers, the general public, TH's patients, physicians, colleagues, assigned staff, vendors, contractors and consultants for the purpose of providing and exchanging information.

Example of Essential Job Functions
  • Manage the day-to-day administrative functions of the department, including but not limited to calendar management for orientation, scheduling virtual and in-person interviews and other general meetings, presentations, generating correspondence, mail handling, as well as inventory and supply control.
  • Compose All Staff Emails for inclement weather, birthdays, and all of companywide announcements.
  • Coordinate the scheduling and planning of meetings and special events for the department and resolve any related logistical or other issues.
  • Assist the HR department with various audits and requested reports by providing statistical and other related data.
  • Coordinate/conduct general orientation.
  • Oversee Hometown Health University All Staff Annual Compliance.
  • Assist with departmental recruitment of students and coordinate the onboarding.
  • Serve as liaison to external and internal stakeholders on behalf of department and represent the department as well TH in a variety of activities.
  • Oversee the appropriate forms are processed for on-boarding and off-boarding.
  • Collect all employment documents when on-boarding new hires and upload them into ADP as well as the personnel files.
  • Create and maintain an electronic and hard copy Personnel File for all TH employees.
  • Manage the collection of PPD, Flu Shot and CPR certification documents for all TH employees.
  • Employment Verifications.
  • Assist with special projects.
  • Ensure labor law compliance by updating TH bulletin board notices/posters.
  • Set up new employee profiles in ADP and update current profiles as needed.
  • Maintains all employee records, I-9 and other HR documentation.
  • Manage and troubleshoot the ADP Time Clocks at all THC locations.
  • Establish and maintain credentialing files for non-clinical staff.
  • Complete employment verifications for current and former employees.
  • Set up and manage the background check process and drug screens for all new hires.
  • Set up all new hire data in ADP for Payroll, employee profile and benefits portal.
  • Collect TH property from terminating employees and ensure that they are disabled in the system.
  • Perform exit interviews.
  • Assist with processing garnishments.
  • Assist with collecting incident reports and gathering the appropriate details.
  • Assist with open enrollment.
  • Assist with offer letters, status change letters, term letters and garnishment communications.
  • Assist staff with all ADP related Payroll and HR questions and provide a clear resolution.
  • Act as a backup in the absence of the HR Director.
  • All other duties as assigned.

Knowledge, Skills & Abilities, Education and/or Experience:
  • Maintains strictest confidentiality.
  • High School Diploma or GED equivalent required.
  • Some college course work or AA preferred in Human Resources OR in lieu of 10 plus years of experience in an HR Generalist role.
  • Demonstrated ability to use entire MS Office 365 (Outlook, Word, and Excel) and ability to learn in-house software.
