Position Overview

The Marketing Operations Manager is responsible for cross-functional management and administration of business processes, work systems, workflows and tools that provide optimal efficiency and effectiveness in the creation and delivery of marketing deliverables for The Ohio State University's Advancement Marketing and Communications (AMC) team an in support of the priorities of The Ohio State University Wexner Medical Center and Arthur G. James Cancer Hospital and Richard J. Solove Research Institute (OSUCCC - James). Reporting to the Associate Director of Marketing Operations, the Marketing Operations Manager is accountable for project intake, trafficking, aligning on project tasks, managing against timeline deliverables, resource allocation and managing logistics across all engaged parties. Traffic responsibilities also include completion of QA/quality assurance, managing stakeholder review/approval processes and routing/flighting final assets to deliver projects on-scope and on-time. Gathers and analyzes data to construct key performance indicators to monitor and improve operational efficiency and reinforce strategic decision making. Examples include but are not limited to; marketing collateral, digital marketing, social media, event invitations, , stewardship and impact engagement and communications, and collateral and support materials for emerging philanthropic initiatives as needed.

AMC marketing and communications plans are delivered through a variety of channels to primary constituent audiences that include grateful patients, donors, prospects, faculty and staff, and alumni.. The team aligns with a strategic content calendar, determines and manages budgets, schedules against deadlines, maps implementation, assigns creative resources, and collaborates with writers and graphic designers to generate content. The Marketing Operations Manager helps steward campaigns that reinforce the organization's overall brand and desired image in alignment with brand standards, being mindful of inclusion, diversity, and accessibility.

The Marketing Operations Manager will implement internal processes and procedures, project development and management, is responsible for tracking project status in Workfront system, and aids in tracking performance/progress metrics. Strong verbal, written, analytical, and organizational skills and extreme attention to detail are required. They must be collaborative, responsive, and proactive, adapt to new ideas, work under pressure, and effectively multi-task in a fast-paced environment.

They must be comfortable setting priorities, meeting deadlines while managing multiple assignments simultaneously, remain poised under pressure, creatively problem-solve when confronted with challenging circumstances, communicate effectively across all levels of the organization, including faculty, physician-scientists, and Wexner Medical Center and Ohio State leadership. The Marketing Operations Manager must exhibit the behaviors associated with the Office of Advancement's core competencies: Leadership Continuous Improvement Teamwork and Collaboration and Communication/Interpersonal Effectiveness.

Duties and Responsibilities

75% Marketing and Communication Management:

* Create and monitor communication plans, project timelines, and reporting to keep projects on track and stakeholders up to date on the project status.

* Lead project kick-off meetings, bring partners and necessary AMC team members to the beginning of each project; prepare agendas, follow up with reports, initiate projects in the Workfront system.

* Interact with internal stakeholders to ensure project requirements are achieved through established operational processes and procedures.

* Allocate resources and establish resource schedule.

* Maintain external vendor relationships; when necessary, commission freelancers, agency partners, or others.

* Anticipate problems and mitigate risks.

* Implement and manage changes and interventions to achieve project outputs.

* Provide updates to AVP of Marketing and Communications, Associate Director of Marketing Operations, Associate Director of Creative, and other leaders with project status, issues, risks, and potential resolutions as each project progresses.

* Lead project debriefs to continually identify operational opportunities that can positively impact performance.

* Assist in maximizing efficiency and effectiveness through the definition and refinement of marketing operations, reporting and project management processes.

* Work collaboratively nurturing systematic decision making, an open and trusting team environment, efficient collaboration and communication, shared responsibility, individual accountability, and the coordination of work toward a common goal.

20% Processes and Procedures

* Assist in maximizing efficiency and effectiveness through the definition and refinement of marketing operations

* Primarily responsible for tracking projects through Workfront

* Responsible for implementing systems, processes, and procedures to ensure smooth operations across marketing execution, marketing analytics, and budget administration

* Helps maintains a content management system

* Assist in tracking of Key Performance Indicators (KPls); contributes to a marketing dashboard

* Assist in running and distributing regular, predefined reports providing key project information for stakeholders

5% Miscellaneous

* Other duties as assigned.

Required Qualifications

* Bachelor's degree or equivalent experience.

* Four (4) years of relevant experience. Proficient in Microsoft Office applications, Adobe suite and significant experience utilizing marketing operations software, such as Workfront.

* Experience with and the ability to demonstrate exceptional strategic planning, structured thinking, analytical, and problem-solving skills, with a commensurate sense of urgency to drive results.

* Master's degree from an accredited program in business, marketing, operations, communications, or related field, or an equivalent combination of education and experience.

* Preferred 4-8 years of experience in a marketing, communications or management position or role with similar responsibilities.

* Understanding of a complex/dynamic academic environment

* Proven experience working in a collaborative environment with multiple and diverse constituent groups.

* Experience working in a marketing, communications and/or higher education environment
