Overview

The National Federation of Independent Business (NFIB), the nation s largest small business advocacy organization, looks to hire an Executive Assistant to join its senior leadership team.

Responsibilities

The Executive Assistant provides executive level support to the President, Chief Legal Officer, and SVP Chief of Staff in all matters to include, but not limited to scheduling, meeting planning and management, travel arrangements, expense reports, and inter-office coordination and communication. Assists executives in composing both internal and external correspondence and managing executive office files. Supports managing the scheduling of and follow-up to meetings with the leadership team and staff and tracks deliverables to help ensure they are completed in a timely manner (i.e. providing timelines to staff and following up on deadlines). Interacts with all departments, employees, and vendors in a professional and confidential manner.Must communicate effectively both verbally and in writing; work outcomes must meet and/or exceed productivity and quality standards. Must be able to work as part of a cooperative team environment and independent of direct supervision; adhere to Company and Department policies and procedures. Some travel may be required. Performs other projects as needed.

Qualifications

Associate degree or equivalent. Seven (7) years of Executive and/or Administrative Assistant experience in a non-profit, trade group, or business setting. Project coordination is helpful.Professionalism, confidentiality, diplomacy, initiative, and sound judgment are essential. Must be a flexible team player with the ability to prioritize multiple tasks under pressure.Excellent organization and time management abilities are necessary for workload and assignment tracking, development of timelines, management of strategic calendars, and budget/program expense monitoring, historical files.Experience in coordinating travel plans and meeting arrangements, as well as use of online travel software preferred.Proficiency in Microsoft Office essential, including strong working knowledge and experience in Excel, PowerPoint, Outlook, and Word.Strong verbal and written communication skills necessary. Mastery of grammar and punctuation to proofread and/or edit a variety of correspondence and documents.Requires some travel (approx. 4 nights per year)Equal Opportunity Employer
