About NIAC and NIAC Action:

NIAC is a 501(c)(3) nonprofit organization dedicated to educating, engaging, and celebrating the Iranian-American community. NIAC Action, the 501(c)(4) sister organization of NIAC, is dedicated to building political power for the Iranian-American community to advance peace and diplomacy, secure equitable immigration policies, and protect the civil rights of all Americans.

POSITION SUMMARY:

The Administrative Assistant will be responsible for thorough, accurate, and timely execution of tasks across departments for NIAC and NIAC Action. This person must have proven experience managing multiple tasks or projects simultaneously, often with competing deadlines. This position reports to NIAC's Operations Director but will work across departments to support the overall mission and activities of the organization. This is a hybrid position and will only accept applications from candidates based in the Washington, DC area.

Administration & Operations
  • Reports to and supports the Operations Manager in all capacities
  • Respond to member inquiries and questions via NIAC's office line and email inboxes
  • Oversee virtual and in-person office operations and ensure they are running efficiently and effectively
  • Provide administrative support for all virtual and in-person events
  • Manages document retention and maintains an organized filing system for financial and other retained records.
  • Plan in-house or off-site activities, such as intern appreciate lunches or holiday gatherings
  • Assist with meeting agenda preparation, maintain and distribute accurate meeting notes, and assist with preparation of monthly reports to the Board
  • Provides support with additional administrative and other duties as required by the Operations Manager or Executive Director, and may support NIAC events as needed.

Finance & Accounting

  • Perform all necessary data entry in EveryAction and Quickbooks Online, including Vendor Creation and W-9 Data Entry
  • Book all revenue & expense transactions for all banking & credit accounts pertaining to NIAC and NIAC Action in QBO
  • Book donor checks and grant payments in EA and following documentation procedures (photocopying checks and other relevant documents pertaining to donations or grants)
  • Cross-reference banking activity in QBO with settled donor and grant payments (credit card, check or other accepted forms of paymentACH, Wires, Securities, etc)
  • Make bank runs & deposit checks for all entities
  • Provide support with monthly bank reconciliations
  • Check mail from PO Box at least weekly and perform any necessary follow-up ie: collection and deposit of checks, sending bills and other mail to Operations Director in timely manner, and alerting any other staff as needed about mail received


Events
  • Provide administrative support for all virtual and in-person events
  • Support organization's Cultivations Team in developing and tracking event goals, timelines, and budgets
  • Track income and expenses for all events
  • Coordinate sponsorships and major gifts for annual events and respond to donor and public inquiries about events


Advancement
  • Support grant management and administration including application submission, grant reporting, and prospect research
  • Coordinate donor solicitation including sponsor letters, invitations, evites, and post-event thank you letters
  • Mail thank you letters and other correspondence as appropriate to donors and supporters
  • Provide administrative support for donor stewardship and engagement programs
  • Collect and record gifts, pledges, and other donations in EveryAction

Qualifications:
  • Ability to clearly communicate verbally and in writing
  • Strong attention to detail required
  • Demonstrated ability to plan and manage multiple tasks while meeting deadlines
  • Project management and operations experience preferred
  • Experience with EveryAction, NGP, or other CRM databases preferred
  • Experience in nonprofit environment preferred
  • Dedication to NIAC/NIAC Action's mission and work
  • Ability to speak Persian (Farsi) is a plus, but not required
