Description

The YMCA of Central Ohio is seeking a dedicated Administrative Assistant to join our dynamic and growing team. This role is open to one full-time person or two part-time individuals, providing flexibility to suit diverse needs.
  • Thinks, communicates and behaves as a cause-driven leader and role model for other staff and members when it comes to desired staff behaviors; promotes youth development, healthy living, and social responsibility in all job-related functions.
  • Serves as the first point of contact for visitors to the YMCA of Central Ohio's Association Services offices. Provides a friendly and helpful atmosphere for all who enter the YMCA offices.
  • Serves in office manager capacity including: multiline telephone system to assist and direct callers to appropriate personnel; welcomes and monitors visitor access; receives, sorts, and routes mail and special delivery items. Ensures all outgoing mail is deposited in the U.S. Mailbox each day; assists with daily maintenance of copiers/printers by maintaining a supply of ink/toner, clearing jams, and stocking paper; maintains schedule for conference rooms; maintains neat appearance of conference rooms / shared spaces & compiles office supply needs (inclusive of water/snacks for meetings/training); prepares and orders supplies; creates purchase orders for supplies; distributes supplies upon arrival.
  • Provide project management, coordination and high level support for key People and Culture initiatives, which includes ownership of various human resources duties and responsibilities.
  • Serve as People and Culture liaison to various staff teams in the planning and execution of special events and projects.
  • Maintains and executes various systems for employee hiring and onboarding. This includes responsibilities around background checks, employee verifications, and HRIS system needs, as assigned.
  • Assists with administrative duties related to training needs, as assigned and appropriate. Assists with various training events, which may include small and large event management, lunch orders, etc.
  • Provides assistance to the People and Culture team with management and completion of internal ticketing system to provide quick support and answers for various YMCA team members.
  • Adheres to policies related to boundaries with youth. Participates in required abuse risk management training. Reports suspicious and inappropriate behaviors. Follows mandated abuse reporting requirements. Adheres to job specific abuse risk management responsibilities.
  • Ability to work effectively with diverse groups and viewpoints from all social and economic segments of the organization and community. A commitment to diversity, equity, inclusion, and anti-racism is expected from our staff.

Requirements

QUALIFICATIONS:
  • High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
  • Working knowledge of Microsoft Office 97, Excel and other computer programs.
  • Excellent communication skills (written and verbal).
  • Passionate belief in the Y's cause of nurturing the potential of all youth, supporting healthy living for all people and finding ways to help and support our neighbors.
  • Ability to relate effectively to diverse groups of people from all social and economic segments of the community.
  • Proven track record of developing authentic relationships with others.
