Position Summary

The Senior Executive Assistant (Sr. EA) provides high-level, complex, and comprehensive administrative and project support to the Executive Director (ED) and leadership within the immediate Office of the Executive Director (iOED) as required. The Sr. EA also oversees administrative support to the immediate Office of the Executive Director leadership and staff. The Sr. EA is responsible for a wide variety of activities and performs administrative tasks with impeccable judgment, a sense of urgency, and exceptional attention to detail, often managing highly confidential, sensitive information. The Sr. EA serves as the primary point of contact for internal and external stakeholders on all matters pertaining to the OED.

The Sr. EA must be collaborative and thrive in a dynamic, mission-driven environment. The ideal candidate will have exceptional administrative and organizational skills, the ability to work independently to complete assignments utilizing project management skills and a track record of self-motivation and initiative in identifying approaches to optimize support and associated workflows for the ED and members of the OED.

Duties and Responsibilities

  • Provide high-level, proactive administrative and project support to the ED (and iOED leadership as required, including overseeing administrative support to OED), including complex calendar management. Compile agendas and other meeting materials. Attend meetings, take notes, and track action items to completion, as requested.
  • Deliver effective meeting management support for the Executive Leadership Team, Senior Leadership Team, and Cross-Function Connect meetings. Coordinate meetings and AV, compile agenda items, send pre-read materials, attend meetings, and take notes as requested.
  • Manage all business travel, speaking engagements, and conference attendance. Arrange flights, ground transportation, and accommodation. Create a detailed trip itinerary, including all logistics, meeting materials, and speaking engagement details. Compile and submit expense reports in a timely manner.
  • Create, compile, and edit materials (Word, Excel, PowerPoint) with special attention to formatting, consistency, and accuracy.
  • Manage and maintain the OED Sharepoint page and shared file locations.
  • Assist in the hiring of administrative staff and support the onboarding of new hires as needed.
  • Research, prioritize, and follow up on incoming issues and concerns addressed to the ED, including those of a sensitive or confidential nature. Determine the appropriate course of action, referral, or response with minimal input from the ED.
  • Ensure the Executive Director's biography, CV, and contacts are kept updated.
  • Provide backup support for the Executive Assistant, Office of the Executive Director, as needed
  • Manage special projects and other assigned duties.

Required Skills
  • Exceptional calendar management skills, including the coordination of managing team meetings and events.

  • Handles matters expeditiously and proactively follows through on projects to successful completion, often with deadline pressures.
  • Ability to self-direct, take initiative, and complete assignments quickly and accurately.
  • Very strong interpersonal skills. Relationship builder who seeks team-oriented solutions, relates to people from diverse backgrounds, sectors, and experiences, and demonstrates emotional maturity.
  • Demonstrated proficiency in Microsoft Office (Outlook, Word, Excel, and Power Point), Teams SharePoint, and Adobe Acrobat.

Required Experience
  • At least 10 years of administrative and project management experience, with a minimum of five (5) years supporting C-Suite level executives.
  • Bachelor's degree preferred.
  • Applicants with relevant experience working in health-related fields with an interest in public health are highly desired.

Compensation and Benefits

Salary Range: $90,552 - $108,622

The above range represents the salary range expected for the position; however, final offers are based on several factors such as the position's responsibilities; the candidate's experience, education, and skills; location; travel required; and current market conditions.

Subject to the terms and conditions of the applicable plans then in effect, eligible employees may participate in PCORI-sponsored medical, dental, vision, and basic life insurance plans for the employee and the employee's eligible dependents.
