Summary

ProSource360 Consulting Services, Inc. is seeking an experienced Executive Assistant to support a government client supporting a directorate of a civilian agency in the Washington DC metropolitan area. The successful candidate will have experience in the consulting arena supporting senior level officials. Excellent verbal and written communication skills are a must. He/She/They are required to be on-site as requested by the client.

Responsibilities

The EA will provide administrative support for the Assistant Director (AD) and Deputy Assistant Director (DAD). Duties include:

  • Maintain calendars for both the AD and DAD (querying attendees availability and issuing calendar invitations) and reserves meeting space(s).
  • Keep AD and DAD apprised of appointments, meetings, travel arrangements, and other commitments.
  • Prepare travel and logistical accommodations (e.g., hotel reservations, transport, etc.) for the domestic and international portion of trips undertaken by the AD and DAD.
  • Effectively engage with the official travel agency and the agencies electronic travel system (Concur) to prepare travel authorizations/vouchers, secure airline and hotel reservations, and process reimbursement claims for the assigned executives.
  • Assist the Communication Specialist with preparing briefing packages, including visual presentations and newsletters, and assembling background materials for the Advisory Committee meeting and the AD and DAD when appropriate.
  • Assist the Directorate Administrative Coordinator (DAC) and OAD Program Analyst with drafting and reviewing administrative correspondence documents to ensure proper format and alignment with agency standard practices and other industry practices as applicable.
  • Assist the DAC with file management.
  • Respond to routine oral and written inquiries concerning the operation of the office using discretion, particularly in instances where there is a confidential nature to the requested information.
  • Handle sensitive situations with diplomacy and tact; displaying good customer service at all times.
  • Receive visitors courteously, route callers and visitors to appropriate officials, and record accurate messages.
  • Receive and log incoming mail. Determine whether correspondence should be brought to the attention of other staff, refer to appropriate personnel, or handle personally.
  • Assist staff with organizing bi-annual advisory committee meetings, including pre and post-event planning, event hosting, and logistics.
  • Assist staff with organizing and hosting various CISE engagement activities.

Qualifications:

  • Associates degree or equivalent plus 5 years of related experience, or High School Diploma plus 7 years of related experience.
  • Proven experience as an Executive Administrative Assistant, Senior Executive Assistant or in other similar positions.
  • Must have experience with forms, workflows, and automations in SharePoint.
  • Prior experience working closely with senior level officials, internal and external stakeholders in a federal agency.
  • Excellent written and verbal communication skills
  • Excellent customer relations skills with the ability to communicate effectively
  • High level of proficiency using Microsoft Office Products (Excel, PowerPoint, and Outlook)
  • Full comprehension of office management systems and procedures.
  • Exemplary planning and time management skills.
