Job description

GENERAL SUMMARY:

The Property Specialist oversees the property management system (PMS) for both MEG & IBS. They also provide day-to-day support to all programs, contracts and CONUS remote offices as well as backing up the Travel & Logistics specialist. Reports to the Logistics Manager.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Administers the IBS property system in the Federal PIEE and its associated government furnished property attachment. To include responsibility for tagging, records creation, assigning, locating, tracking and inventorying associated GFP.

Administers i-Support Inventory Management system for CONUS locations as well as an "available for issue" inventory room.

Executes corporate procurement actions for goods and services including entry of purchase requests in Costpoint. Prepares and submits related expense reports in Costpoint as required to account for procurement actions.

Coordinates troubleshooting of office equipment and related repair and return.

Involvement with space planning and associated floor plans.

Augments Travel Department as required. Books flights, lodging and rental cars as required. Maintains the Travel Authorization Number log.

Works and manages data within Scope, Concur, and other related software.

Maintains stocks, reorders and distributes office and kitchen supplies

Performs postal and express shipping and receiving duties as required

Sets-up and tears down employee equipment as needed

Book flights and make other travel arrangements for US and international travelers

As needed, coordinate staff Emergency travel, hotel and rental vehicle arrangements for Mission Essential staff and Linguists after normal hours of operation, evenings and weekends

Assist with the Expert Care Program to monitor travelers' locations and near real-time flight status. Communicate with travelers and send travel alerts as received

Assist with the Travel Authorization Number (TAN) Log entries

Ensure all travel arrangements comply with current compliance rules, particularly the Fly America Act

Perform duties as required and performs other duties as assigned

JOB SPECIFICATIONS:

Responsibility for maintaining and closing out records within the PIEE. Also contractually required inventories associated with government contracts.

Responsible for providing excellent Customer Service

Ability to handle multiple tasks while ensuring compliance to procedures is crucial for success in the position

Ability to think outside the box and solve problems quickly

Attention to detail, strong verbal and written communication is necessary

Performs other duties as assigned

This position is open to hybrid work and the opportunity to work remote up to two days a week. However, the Property Specialist will be required to physically report to the office any days deemed required to have onsite support.

REQUIREMENTS

TRAINING, EDUCATION AND DEVELOPMENT REQUIRED:

Bachelor's degree or equivalent Logistics background. (Military logistics experience a plus)

Some knowledge of travel industry and travel booking systems

Some familiarity with the airline industry, as well as rental car and hotel industries

Proficiency in MS Office (especially Excel) is required

Familiarity with military acronyms

Familiarity with FAR requirements especially as pertains to GFP.

Must demonstrate strong customer service skills and experience

Must be able to obtain clearance up to Top Secret (Secret and above highly desired)

ADDITIONAL REQUIREMENTS:

Must have a valid driver license and ability to operate a vehicle

Must be able to lift up to 35 pounds without assistance

KEY DESIRED EXPERIENCE:

Successful completion of college level coursework or equivalent experience

Training, certification, and membership in NPMA for familiarity with DCMA rules & regulations. (or a willingness to follow on with)

Strong background in Logistical support in a military or government contracting role.

Ability to learn and use company systems such as, but not limited to: i-Support, Costpoint, Concur & SCOPE.
