Enrollment Services Processing Specialist

Overview:

Serves as a member of the enrollment services processing team to perform daily business processes related to student financial and academic records.

Responsibilities:
  • Under the leadership of the Senior Assistant Director for Business Services, performs processing functions in accordance with standards set by the Director and Senior Assistant Director such as:
    • Enrollment and degree verifications
    • Grade changes
    • Graduation-related functions (diploma applications and production, degree postings)
    • Historical student record entry and corrections
    • Scanning/imaging of student academic and financial records
    • Status changes (withdrawals, LOA, suspensions)
    • Student refunds
    • Transcripts
  • Updates diploma system to add new graduation terms and coordinates obtaining new diploma signatures and saves them in the diploma system.
  • Analytically review student accounts to determine which accounts require refunds as per federal FSA refund guidelines and ensure that refunds are processed within the regulated time frame.
  • Courteously and promptly responds to email in the Enrollment Services Transcripts, Refunds, and Processing mailboxes providing comprehensive customer service including quality referrals to other offices as needed.
  • Maintains up-to-date knowledge of and is able to explain academic and financial policies and procedures to all constituents including FERPA, and federal and District of Columbia regulations for all processing functions.
  • Maintains a collaborative working environment with all team members.
  • Provides comprehensive customer service to all constituents in the area of student records and student accounts.
  • Assists the Accounts Receivable team as needed particularly in the processing of loan servicer and collection agency invoices including auditing invoices for accuracy and working with those agencies directly for any corrections.
  • Assists the student services team as needed to ensure adequate coverage for the service area and the telephones in accordance with standards set by the Director of Constituent Services and the Assistant Director for Student Services.
  • Performs other duties as assigned.
Qualifications:
  • A Bachelor's degree
  • One to two years general administrative experience.

  • Experience working in an academic environment preferred.

  • In lieu of a Bachelors degree, 5 years of work experience in a student services discipline or administrative office will be considered.

  • Strong use of e-mail, voicemail and web browsing and the Google Apps for Education suite.
  • Functional use of Microsoft Office software applications.
  • Experience with enterprise-wide information system preferred.
