Job description

Ullico, Inc., one of the nation s largest sources for real estate first mortgage financing, is actively recruiting an Administrative Assistant to join a group that manages a $3.8 billion portfolio. The successful candidate will:


  • Generate memos, letters and other correspondence and documents using word processing and other software and databases as applicable. All such correspondence and documents are ready for signature and error-free.
  • Maintain office records and files. Maintain confidential files or records of a proprietary nature. Keep attendance records of unit personnel including vacation and sick leave usage
  • Prepare and distribute regularly scheduled reports and special or unique reports which require knowledge of Spreadsheet and other software programs. These reports may follow a standard format or may require developing appropriate formats. Prepare reports, answer inquires and/or draft responses that require research or investigation.
  • Work with outside vendors and representatives to facilitate projects, obtain information and resolve longstanding or complex problems.
  • Answer telephone, take messages and route calls to appropriate individuals throughout unit and company.
  • Handle department administration functions which may include preparing expense accounts, various bills, inputting vendor check requests.
  • Open, date stamp and distribute all incoming mail. Handle incoming and outgoing overnight shipments.
  • Perform other job-related duties that may be assigned.


Minimum Qualifications:


  • High School Diploma and one to two years of college courses strongly preferred.
  • Two years administrative office experience.
  • Experience with applicable software packages, specifically Microsoft Word and Excel is required.
  • Must pass company Microsoft Excel and Microsoft Word tests at an Intermediate level.
  • Must be able to support multiple employees.
  • Prior experience in and/or knowledge of functional areas, operations, terminology and / or forms preferred.
  • Demonstrated oral and written communication skills.
