Office Services Associate

Job description

The Office Services Associate will work with the client s Executive Concierges, Space Management Team, and employees across several service lines, to ensure. Service lines include Hospitality, Mailroom, and Facilities.


ESSENTIAL HOSPITALITY FUNCTIONS:

Follow established guidelines and procedures for receiving, documenting, organizing and distributing client kitchen supplies

Ensure customers request to set-up meeting rooms in a timely matter in accordance with Forrest Solutions standards and instructions given by the client

Exhibit the ability to take verbal instructions while taking notes to properly respond and handle client service requests

Exhibit excellence in customer service and the ability to serve others

Provide immediate attention and acknowledgment to customers entering the kitchen area in accordance with Forrest Solutions' standard of operation

Perform a walkthrough of the floor to inspect and ensure that all rooms are clean, stocked with supplies and ready for the next meeting

Maintain inventory and order of kitchen/kitchenettes, common areas, and conference room, including wiping of counters Cleaning, dusting and other incidental tasks as assigned

Excellent customer service skills, good communication skills, ability to multi-task, do not mind cleaning up after others

Monitor and listen to customers to understand inquiries and requests in order to provide accurate and prompt assistance with meeting room set-up and clean up


ESSENTIAL MAILROOM FUNCTIONS:

Perform the initial rough and fine sorts of incoming mail

Sort interoffice mail to be redistributed

Conduct mail runs at scheduled times throughout the day

Deliver mail to each department, person, or pre-established drop area as required, including special and rush packages.

Obtain signatures upon delivery of package when applicable

Sort and stamp outgoing mail, using postage equipment according to policy and regulations.

Prepare outgoing Certified, Registered, and insured articles, and special mailings.

Pick up outgoing mail from pre-established drop areas.

Sort and meter outgoing mail

Maintain logs and records on all incoming/outgoing mail as required.

Handle sensitive and/or confidential documents and information.

Schedule pick-up and delivery of by-hand requests.


ESSENTIAL FACILITIES FUNCTIONS:

Assist with maintaining daily operations of the physical facility.

Assist with project work as it relates to the facility and/or administrative detail.

Responsible for the appearance/cleanliness of public spaces.

Escort contractors; work with outside contractors on building and equipment repairs.

Assist in any other reasonable requests for assistance




POSITION REQUIREMENTS/EXPERIENCE/ EDUCATION:

- 2-3 years experience working in a service industry such as Hotel and Restaurant, Hospitality and/or Event Planning preferred

- Must have strong technical skills (Microsoft Office Suite, Google docs, audio/visual equipment)

- Able to stand for long periods of time

- Works well in a fast-paced environment

- Good listening and professional demeanor

- Must be able to navigate clients of every professional level.

- Maintain a high level of professional appearance and demeanor
