Summary Description

The Program Manager (DC) is responsible for managing planning, execution, and fellow success for the DC cohorts of Dog Tag's five-month fellowship. The ideal Program Manager will possess both project management skills that ensure high-quality program planning and delivery, and skills in human development, including coaching, accountability, conflict resolution, and facilitation. The Program Manager serves as a trusted guide and facilitator for the DC cohort, and must regularly demonstrate attention to detail, ability to collaborate with a variety of program stakeholders, supervise daily program delivery, and design programming and experiences that support desired program outcomes.
Key Responsibilities & Duties
  • Fellow Success Management: Ensure an environment is created for fellow success, defined as completing curriculum requirements to satisfaction, developing self-confidence and self-advocacy skills finding and defining passion and purpose, and participating as part of a larger community in a supportive and contributing manner by:
    • Serving as main point of contact for DC fellows, including hosting 1:1check-ins throughout the cohort, providing individualized support as necessary, reviewing and responding to the fellows' monthly reflections, and coordinating with the Director of Programs & Community Impact as necessary for escalated fellow needs.
    • Facilitating programming that helps create a positive environment for growth and human development, including leading wellness and community building activities, weekly debriefs, and additional reflection and journaling.
    • Holding fellows accountable for deliverables and deadlines, while also offering reasonable accommodations for life and learning challenges.
    • Maintain a network of partner resources for fellow needs (ie, other veteran programs, entrepreneurship and education resources, etc).
    • Maintain an active relationship with the Alumni and Impact manager to aid in connecting fellows to resources in the Dog Tag alumni community.
    • Take a lead role in facilitating key programming weeks, including orientation, closing week, and in person weeks.
  • Program Management: Oversee the creation and delivery of program activities, adhering to the program design parameters outlined in the curriculum:
    • Develop program schedule including Georgetown Classes, Bakery Rotations, Learning Labs, Wellness programming, and Capstone sessions.
    • Oversee and support as necessary the Program Coordinator's correspondence with learning lab partners to arrange speaking opportunities.
    • Manage the process of tracking program engagement in Salesforce, including partner engagement, fellow meeting notes and success indicators, recruiting pipelines, and more.
    • Collaborate with the Program Coordinator to track program metrics, including attendance and program hours spent across different program areas.
    • Proactively communicate scheduling changes across program stakeholders.
    • Provide administrative and logistical support to DTI staff in preparation for and during rotations.
    • Collaboratively manage the development of program manuals, forms, and records
    • During in-person programming, manage the atmosphere and appearance of the classroom, ensuring that the room and materials are prepared and organized before and after each day. Ensure Dog Tag staff are adequately briefed on in person programming needs and plans.
    • During virtual programming, manage the daily operations, including Zoom coordination, working with Dog Tag's IT consultants to troubleshoot issues that arise and ensuring efficient distribution of program materials.
    • Track classroom supplies inventory and order supplies when needed.
    • Assist the Sr. Program Manager with planning for special program days including, but not limited to, the Resume Review Workshop and Pitching and Networking Day.
    • In addition to the weekly Monday - Thursday programming, participate in other program activities, including some evening and weekend commitments.
  • Program Evaluation and Partner Engagement: Manage the data collection processes across the DC cohort, and support the broader program evaluation and analysis process.
    • Manage the data collection process across the DC fellowship program, including the collection of onboarding surveys, three phase surveys throughout the five-months, and offboarding surveys.
    • Collaborate with the Director of Programs and Community Impact to analyze insights from the data collected, and propose program delivery adjustments as necessary.
    • Build and maintain relationships with key program partners, including Georgetown partners, Finding Your Voice instructor, key learning lab participants and wellness partners.
    • Work with the Director of Programs and Community Impact to identify engagement opportunities for new partners.
  • Recruitment and Admissions: Manage the execution of the DC recruitment and admissions process.
    • Collaborate with the Director of Programs & Community Impact and the Senior Program Manager to ensure successful bi-annual recruiting and admissions cycles. Help build and maintain public awareness of Dog Tag to ensure a healthy and robust application pipeline.
    • Manage partner outreach and recruitment events, cultivate existing community partnerships and establish new partnerships to ensure referrals of high-quality applicants.
    • Collaborate with the Senior Program Manager to coordinate recruitment activities.
    • Monitor online applications for accuracy using Salesforce platform. Correspond with applicants to ensure all documentation has been received in a timely manner.
    • Conduct second round interviews with candidates. Recommend top candidates to final interviews.
  • Track program expenditures, in-kind donations, and identify creative cost-saving opportunities.
  • Other duties as assigned.


Qualifications
  • Minimum five years of work experience, particularly in fields related to human development, social work, education, sociology, cultural studies, psychology, and/or workforce development. Graduate-level education may be substituted for two years of work experience.
  • Skills and experience working with recruitment, event planning, project management, and/or partnership development.
  • Familiarity with adult education principles and needs.
  • Willingness both to take the initiative and work with a dynamic team.
  • Expert attention to detail.
  • Well organized and timely.
  • Acts as a team player who can interrelate effectively with peers within a collegial, yet demanding, work environment.
  • Comfortable speaking with diverse audiences; an excellent communicator.
  • Experience and/or comfort working with individuals who have experienced trauma or lack self-confidence. For example, many of our fellows have experienced Military Sexual Trauma in the past and are experiencing Post Traumatic Stress.
  • Strong critical thinking skills and ability to problem solve a range of issues.
  • Comfort with ambiguity; openness to change; adaptive leadership style.
  • Ability to demonstrate a high level of tact and discretion to maintain confidential/sensitive information.
Key Performance Indicators
  • Successful delivery of DC Fellowship cohorts, all seats filled, curriculum delivered to plan, and 90%+ graduation rates.
  • Successful delivery of a recruitment cycle that results in enough program candidates to fill all seats and create a short waitlist.
  • Meet or exceed Program Strategic Goals, and ensure alignment with Organizational Strategic Goals.
  • Meet or exceed all timelines and quality expectations for data collection regarding the DC Fellowship.
  • Provide accurate and timely reporting for grants.
  • Develop and refine program activities for Fellows and those involved with the Fellowship program.
