Job description

The GW Medical Faculty Associates (MFA) was incorporated in July 2000 as a not-for-profit, physician-led practice group. The organization functioned as an independent organization in support of The George Washington University School of Medicine and Sciences as a multi-specialty physician practice group. The GW MFA has grown to become the largest independent academic physician practice in the Washington, DC metro region with more than 500 physicians and nearly 200 APP providers. In 2018, the MFA bylaws were revised to allow The George Washington University to serve as the sole corporate member while the MFA retained independent 501c3 status. The purpose of the change was to ensure alignment between the MFA and The George Washington University.

MFA physicians provide comprehensive patient care, offering one practice for the whole person with 52 medical and surgical specialties. As members of the GW School of Medicine and Health Sciences faculty, MFA providers are teachers and mentors for medical students, residents, fellows, and researchers preserving the rich tradition of academics, research, and healing. In addition to maintaining a closely integrated alliance with The George Washington University and The George Washington University Hospital (GWUH) which is separately owned and operated by Universal Health Services (UHS), the GW MFA has active referring relationships with 12 area hospitals.

The GW MFA's leading healthcare presence in the DC metro region is complemented by a network of community-based practices in DC, Maryland, and Virginia. Given its geographic location in central NW Washington, DC, and proximity to more than 175 resident embassies, the MFA continues to evolve its international clinical outreach.

Position Summary

The MFA Faculty Affairs Coordinator serves as a primary administrative point of contact for the office of Faculty Affairs at the MFA and the office of GWU SMHS Office of Faculty Affairs and other affiliated institutions for all the full-time, part-time, limited-service and Advanced Practice Providers. The successful candidate will be responsible for providing high-quality administrative assistance with high attention to detail and accuracy and maintaining strict confidentiality. The Faculty Coordinator will report to the Faculty Affairs Administrator.

Essential Duties and Responsibilities: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other duties may be assigned.

Faculty Recruitment

Facilitate the recruitment process with GW SMHS Office of Faculty Affairs, coordinate job postings, track and distribute applications, schedule interviews (i.e. booking hotel accommodations, flights, etc.), disposition applicants, and assist in the final selection process.

Hiring/Pre-Onboarding

Collaborate with division faculty practice plan managers, MFA Human Resources, GW School of Medicine, GW Hospital, and any other outside institutions to receive and process relevant paperwork for (1) submission of hiring proposal, (2) credentialing, and (3) academic faculty appointment.

Send welcome email and detailed information to new hires, providing required information, credentialing, and faculty appointments.

Initiate and track multiple credentialing.Process hiring proposal and faculty appointments.Stay in constant contact with new hires for missing documents and remind them of upcoming deadlines.

Credentialing - New Providers

Facilitate the credentialing process for new providers - physicians and advanced practitioners.Collaborate with internal credentialing body, external entities, and providers to address any credentialing related inquiries or issues.

Track the credentialing process to monitor the progress of provider's credentials through various states.

Re-Credentialing - Active Providers

Remind providers of upcoming credentialing as needed.Maintain and update providers CAQH information.

Onboarding

Follow the onboarding checklist to facilitate seamless and efficient hiring and onboarding processes for new smooth hiring and onboarding process for new physicians and advanced practice practitioners, providing them with necessary resources and information, and organizing orientation(s).

Send an onboarding welcome email providing the new hire with essential information about their first week.

Develop an orientation schedule that includes introductions to key staff and training sessions.

Conduct formal welcome meeting with the provider.Complete all necessary paperwork and go over onboarding checklist.

Follow up with the providers to ensure they are settled and address any remaining questions.

Management of Providers

Maintain accurate up-to-date records and files.

Faculty Appointments

Review and provide support for all department's full-time and limited service promotions, faculty appointments and promotions, Emeritus applications by defining eligibility requirement and specifying criteria for appointment considerations to applicants.Review and manage the collection of all MFA promotion dossiers for faculty promotion candidates, and check for accuracy of all the documents before submission. Submit application materials to the GW Office of Faculty Affairs.

Offboarding

Follow the offboarding checklist to process termination documents with Legal office, Office of Faculty Affairs, Credentialing, Marketing, and other outside entities. Forward to the Office of Faculty Affairs all MFA faculty termination memo along with any correspondence between the department and the faculty member acknowledging the change of status.

Minimum Qualifications

Education

  • A Bachelor's degree in an appropriate field or an equivalent combination of training and experience


Experience

  • A minimum of 3 years of responsible health care administration experience


Physical Requirements

  • Walk, bend, twist, and reach above the shoulder frequently in an office setting.
  • Must be able to occasionally lift or carry and frequently push or pull up to 20 lbs. as part of the role
  • Regularly exposed to healthcare settings that may require personal protective equipment
  • Requires manual dexterity to operate a computer keyboard, calculator, copier machine, and other equipment.
