Job description

Senior Administrative Assistant Executive Team

The National Electrical Manufacturers Association (NEMA) develops performance and other standards for its Members in the electrical industry. NEMA crafts and executes advocacy campaigns and provides analytical products to assist member companies with business decisions.

The Senior Administrative Assistant will provide administrative support to NEMA s executive team and serve as the primary point of contact for internal and external constituencies on all matters pertaining to the Chief Financial Officer (CFO), the Senior Vice President, Regulatory and Industry Affairs, and the Senior Vice President, Public Affairs. The Senior Administrative Assistant also serves as a liaison to the Office of the President and other members of the executive team. This role requires a combination of analytical, organizational, communications, and problem-solving skills, as well as an innate ability to balance multiple priorities.

The Senior Administrative Assistant position is a non-exempt position reporting directly to NEMA s Executive Assistant to the President/CEO, and is located at NEMA headquarters in Arlington, VA.

Key Responsibilities:
  1. Completes a broad variety of administrative tasks for the Executive Team:
    • Coordinate the preparation of materials for NEMA Board meetings in conjunction with the President s Office, Executive meetings, and other necessary background material for NEMA activities as assigned
    • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the executives
    • Successfully completes critical aspects of deliverables, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the executives ability to effectively lead their teams
  2. Drive the effectiveness and organization of the Executive Team:
    • Analyze and create a strategic view of the executives calendars to ensure effective use of time and impact
    • Facilitate and calendar effective interactions between executives and internal/external constituents (meeting prep, briefings, follow-ups, etc.) and track progress on action items
    • Manages expense reporting, purchase orders and processes invoices for payment
    • Assists Executive Assistant with special projects and initiatives as assigned
  3. Participate in cross-functional teams and build relationships across the organization
    • Works with other administrative staff to ensure coverage for all executives in the executive suite as needed
  4. Maintains confidentiality and handle sensitive information with a high level of discretion. Interacts with internal and external constituencies with professionalism, integrity, and timeliness.


Experience and Qualifications:
  • High school degree required, bachelor's degree a plus
  • 1-3 years of experience supporting C-Level Executives experience preferred
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Excellent written and verbal communication skills
  • Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, NEMA members, and other external partners
  • Past experience supporting C-suite executives for Board of Governors/Directors interactions, including meeting preparation as well as meeting administration preferred
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of client service and response
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat
  • Strong business acumen and analytical mindset, demonstrating highly effective problem-solving skills
  • Highly resourceful team player, with ability to also be extremely effective taking initiative and acting independently to move priorities forward. Understands how to manage multiple priorities.
