Job Description:

Essential Duties and Responsibilities include the following, but may include other duties as assigned:

Administrative Assistant

Provide financial aid information and respond to requests for information in person, by phone, and email.

Responsible for managing and coordinating the daily operations of the financial aid office. Many of these duties require a general knowledge of various federal regulations and procedures as they pertain to student financial aid. These responsibilities also include responding to financial aid emails and serving as the primary receptionist for the office.

Coordinates mailings (both via USPS and electronic) to students and their families as well as mailings to former students whose loan accounts are past due.

Responsible review of all documents received for completion and for all filing and document management.

Uses PowerFaids to track loan statuses by generating reports. Manages the email notifications relating to loans.

Responsible for management and processing of the daily updates between PowerFAID and Jenzabar

Assists the Associate Director with enrollment reports for the Adult Accelerated and Graduate to identify and prepare students to be packaged.

Assists the Director in review of enrollment reports for internal uses, manages the notification to students when financial aid packages are modified and prepares files for external audits.

Budget Management - This position is also responsible for processing and tracking all budget expenditures for the department.
  • Assists in the development, monitoring, and revision of department budget.
  • Registers all p-card transactions and the VP's credit card in a timely manner.
  • Manages all accounts payable vendors and processes requests for payment.


Marginal Functions:
  • Oversees inventory of all office supplies, including basic supplies, bank brochures/information packets, loan applications and other necessary forms.
  • Other duties as assigned by the Director and Associate Director of Financial Aid.


Job Requirements: Education, Experience and Skills:

  • A high level of organizational skills and the ability to think clearly while simultaneously handling a multitude of complex situations (phones, walk-in parents and students, etc.) are mandatory.
  • Discretion and good judgement are extremely necessary while communicating with current and prospective students and their families.
  • Ability to perform at a high level of accuracy and detail in a stressful environment (dealing with people's finances) required. Basic computer skills are a must with the understanding that new Federal regulations and computer software programs will necessitate an environment of constant learning and enhancement of these skills.
  • High School Diploma or equivalent.


Salary/Benefits

Minimum Pay Rate:$17.00/Hour

This is a full-time position with full benefits and annual, holiday and sick leave.
