Job description

Our client is seeking an eager and driven Finance Associate/Bookkeeper to join their executive team! Reporting directly to the Senior Vice President of our client's family office, you will play a pivotal role in the CEO's personal financial organization, cash flow management, expense tracking/budgeting, and more.

Finance Associate/Bookkeeper Responsibilities:

  • Provide high-level administrative, bookkeeping, and project management support to the Financial Services department.
  • Act as a liaison between the Financial Services department and employees of the company, the Chairman's household staff, employees of the Chairman's other businesses, and external personal and business contacts.
  • Process bi-weekly payroll for household staff, ensuring accuracy and timeliness.
  • Manage onboarding and offboarding processes for household staff, including payroll setup and termination.
  • Administer household staff benefit programs, including enrollment, changes, and inquiries.
  • Track and pay household and The Principals' expenses, ensuring proper documentation and compliance with policies.
  • Manage corporate and personal credit cards for the Chairman, household staff, etc., including reconciliation and expense categorization.
  • Oversee and track petty cash for household staff, maintaining accurate records and replenishment procedures.
  • Develop and enforce specific household and department operating policies and procedures to ensure compliance and efficiency.
  • Provide support to the SVP as needed, including ad-hoc projects and tasks.
  • Maintain confidentiality and professionalism in all interactions and transactions.
  • Collaborate with other departments as necessary to achieve departmental and organizational goals.
  • Stay updated on relevant regulations and industry trends related to payroll, expenses, and household management.

Finance Associate/Bookkeeper Qualifications:

  • BS in Accounting, Finance, or related field preferred.
  • 5+ years of payroll/bookkeeping experience.
  • HR experience - onboarding/offboarding, personnel record keeping, etc.
  • QuickBooks and Paychex = a plus.
  • Active Notary = major plus.
  • Ability to maintain a high level of confidentiality and professionalism.
