Job description

The GW Medical Faculty Associates (MFA) was incorporated in July 2000 as a not-for-profit, physician-led practice group. The organization functioned as an independent organization in support of The George Washington University School of Medicine and Sciences as a multi-specialty physician practice group. The GW MFA has grown to become the largest independent academic physician practice in the Washington, DC metro region with more than 500 physicians and nearly 200 APP providers. In 2018, the MFA bylaws were revised to allow The George Washington University to serve as the sole corporate member while the MFA retained independent 501c3 status. The purpose of the change was to ensure alignment between the MFA and The George Washington University.

MFA physicians provide comprehensive patient care, offering one practice for the whole person with 52 medical and surgical specialties. As members of the GW School of Medicine and Health Sciences faculty, MFA providers are teachers and mentors for medical students, residents, fellows, and researchers preserving the rich tradition of academics, research, and healing. In addition to maintaining a closely integrated alliance with The George Washington University and The George Washington University Hospital (GWUH) which is separately owned and operated by Universal Health Services (UHS), the GW MFA has active referring relationships with 12 area hospitals.

The GW MFA's leading healthcare presence in the DC metro region is complemented by a network of community-based practices in DC, Maryland, and Virginia. Given its geographic location in central NW Washington, DC, and proximity to more than 175 resident embassies, the MFA continues to evolve its international clinical outreach.

Position Summary

The Executive Assistant & Faculty Affairs Coordinator provides the Department Leadership with a wide range of executive support. This role operates in a dynamic, results-driven, fast-paced environment with regular exposure to confidential data and situations requiring discretion, tact, diplomacy and good judgment. To be successful, the Executive Assistant & Faculty Affairs Coordinator must be proactive, have exceptional attention to detail and be a strong problem-solver. The Executive Assistant & Faculty Affairs Coordinator serves as the primary point of contact on all administrative matters pertaining to the Department Leadership. They must be fully capable of working independently on projects, from conception to completion, and capable of working under pressure on a wide variety of activities. This will include administration, coordination, and project management duties, all requiring self-direction with frequent interaction with executive-level associates within and outside of the MFA. They will be required to exercise good judgment in a variety of situations, have exceptional strong written and verbal communication, and be proficient in maintaining a balance among multiple and sometimes competing priorities.

Essential Duties and Responsibilities: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other duties may be assigned.

* Composes and prepares routine correspondence for the department executive.

* Answers telephone and give information to callers or routes call to appropriate person and places outgoing calls.

* Schedules appointments and arranges travel schedules and reservations.

* Process faculty physicians and appropriate MFA staff to setting up files; helping maintain copies of current licensure.

* Assists the department in the annual capital and annual budget processes

* Monitors and participates in answering of inquiries from students, University staff, sponsors or general public; normally handles more complex inquiries personally.

* Responsible for entering & approving reimbursement request for all providers via Concur

* Serve as clinical scheduler for chair of the department

* Enter provider leave request via QGenda

* Keep track of expenses and reimbursements associated with all active grants

* Assist new vendors with enrollment into iSupply

* Serve as backup for Faculty Affairs and submission of Promotional paperwork for physicians

* Complete onboarding of Fellows

* Assist department chair and fellows with research initiative

* Coordinate faculty meeting (i.e. record, take notes & minutes, etc.)

* Provide backup support to administrative assistants

Other Related Duties

* Administers specific functions on behalf of Department Manager.

Minimum Qualifications

Education

* A minimum of 1 year of college education, or an equivalent combination of training and experience, is necessary.

Experience

* A minimum of 3 years of secretarial experience, including at least six months of business administration experience, is necessary.

* Excellent word processing skills are necessary.

Physical Requirements

* Walk, bend, twist, and reach above shoulder frequently in an office setting

* Must be able to occasionally lift, carry, push, or pull up to 20 lbs. as part of the role

* Regularly exposed to healthcare setting that may require personal protective equipment

* Requires manual dexterity to operate computer keyboard, calculator, copier machine, and other equipment
