Executive Assistant to C-Level Executive

Job description

Our client, a global financial organization, is seeking an Executive Assistant to support a member of the C-Suite in Delaware County. This is hybrid role and onsite three days a week.


Duties include, but are not limited to:

  • Effective and complex calendar management across multiple time zones, including appropriate prioritization in case of scheduling conflicts and deadlines for deliverables.
  • Access to and monitoring of email inbox and associated assistance with managing requests, tasks and reading materials.
  • Efficient domestic and international travel management, supporting visa requirements where required, including hotel and transportation logistics, and preparing expense claims; ultimately delivering a premium travel experience.
  • Operate as a first point of contact concerning questions from internal and external parties, and handle communications in a timely, accurate and confidential manner
  • Develop relationships and liaise with others internally and externally
  • Organize global meetings, record minutes, ensure distribution of minutes and follow-up on actions and deadlines.
  • Organize and oversee local and international events, including handling logistical matters, coordinating arrangements for delegates, and setting program to deliver event requirements.
  • Prepare presentations, communications, documents and/ or reports
  • Execute various supportive tasks


Qualifications:

  • Minimum 10 years experience in Executive Support
  • Excellent working knowledge of MS Outlook, Word and PowerPoint. Competence in basic Excel.
  • Ability to work autonomously, flexibly and with a high degree of self-initiative, self-confidence and organization.
  • Ability to establish and develop strong relationships with co-workers and wider internal and external network.
  • Multi trip international travel booking experience with complex itineraries
