Job description
Schedule: Hours vary Mon.-Fri. from 7:00 a.m. to 5:00 p.m.
This position travels between the West York, Hanover, Gettysburg and Eastern Boulevard locations.
JOB SUMMARY:
The Supervisor is responsible for leading and supporting the registration, scheduling, and greeter departments.
QUALIFICATIONS AND EDUCATION:
Education
High school diploma or its equivalent.
Qualifications:
A minimum of three years of experience in the medical field in a similar capacity required; a minimum of five years preferred. Previous experience in a lead/supervisory role required.
Must be personable and friendly at all times, have professional and effective communication skills and deliver exceptional customer service.
Must have proficient computer skills and be able to use the various systems utilized by OSS Health.
Knowledge of insurance reimbursement procedures required. Must understand the procedures associated with a variety of health insurance plans.
Must have strong organizational and problem-solving skills. Must be able to work efficiently and prioritize tasks in a high volume practice.
Must have the ability to work independently and be self-directed as well as work as an effective team member.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
Greets patients/visitors in a professional, courteous and helpful manner.
Verifies patient demographics, billing and insurance information and updates computer system accordingly.
Follows policies/procedures when scheduling MRI/CT, PT/OT, US, consults, etc.
Reviews paperwork for tests/procedures with patient.
Collects copays and notifies patients of balances due or not covered by insurance. Ensures patients know payment requirements as described in OSS Financial policies.
Schedules patients for follow up appointments and provides proper paperwork at checkout from his/her scheduled visit with the provider.
Provides guidance and training to lesser experienced team members and acts as a Mentor to staff.
Answers telephones promptly, identifies self and direct calls as appropriate.
Must be able to perform the duties of Receptionist, Scheduling Representative, and Greeter as noted on the appropriate job descriptions in order to provide coverage for team members as needed.
Maintains a positive and professional attitude towards all patients and patients' family or representatives. Maintains a positive and professional attitude towards co-workers and Medical Staff.
Keeps work area orderly and neat so as to present a professional working area.
Demonstrates flexibility in performing additional responsibilities that contribute to the improvement of patient care and the well being of the Practice.
Directly supervises Receptionists, Scheduling Representatives and Greeters.
Makes decisions and takes actions essential to the daily operation of the work area(s) for which responsible.
Responsible to have the appropriate amount of staff for the volume of patients being seen on a daily basis; maintains time off requests.
Participates in and/or supports the employment process in conjunction with the Human Resources Department
Submits requests for staffing needs on a thorough and timely basis, securing all necessary approval(s)
Participates in the screening/interviewing process, making self available to meet the candidates' needs to expedite the screening process.
Participates in and/or supports the Orientation of newly hired staff members.
Completes time keeping/exception reports and yearly performance evaluations for the designated patient access staff.
Gives guidance and direction in developing and/or maintains on-going training programs/initiatives to enhance skills, knowledge and productivity of existing employees.
Participates in training sessions as required and/or deemed necessary.
Provides leadership and direction to the staff for whom responsible in order to maintain a work environment that promotes the creative development of ideas and allows employees to meet and/or exceed expectations and established standards of performance
Ensures that staff is working as efficiently, as accurately and as productively as possible.
Facilitates regular (monthly) staff meetings.
Assists the Patient Access Manager with department-specific leadership and accountability issues.
Ensures the compliance with all policies and procedures by staff. Recognizes exemplary compliance.
Communicates significant patient access issues, consistent with the organizational policies, procedures, guidelines and mission, to the Patient Access Manager.
Initiates appropriate corrective action in instances of noncompliance; secures required approvals before addressing with the staff.
Maintains or oversees the maintenance of supplies deemed necessary for the efficient operation of the area(s) for which responsible.
Serves as a professional role model for staff members and acts as a resource. Assists and supports staff members in pursuit of their professional goals.
Researches major expenditures (including equipment, supplies and/or systems) and makes recommendations to the appropriate member(s) of management for approval to purchase.
Works closely with Patient Access Satellite Coordinators as well as Clinical Coordinators/Supervisors at Mechanicsburg and Enola.
