POSITION SUMMARY:

Oversees all functions of the reception desk operations and provides principal administrative support for a 50+ Center. Supports overall operations of the 50+ Center with member support, food service and facility maintenance. Serves as a team member for all aspects of the Center.

STARTING SALARY HIRING RANGE:

$18.51 - $20.86

CLASS DESCRIPTION:

Performs intermediate technical level administrative support work under general supervision from an administrative or technical superior. Work typically involves performing clerical and secretarial work, such as data entry and document management, file maintenance of secure and confidential records, and public contact and service. Work may also include accounting clerical tasks such as bookkeeping, keeping of financial and other important records; preparing vouchers for payment; documenting and depositing cash receipts; and controlling, recording, and storing data. Work at this level may also include independent responsibility for a routine clerical process.Include the following. Other duties may be assigned.

* Responsible for administrative duties and front desk functions which include:

* Greets and directs customers, provides information, registers & collects payment for programs, sells and processes memberships in ActiveNet, makes appropriate referrals, assists staff and visitors as needed. Follows the established policies and procedures as needed to ensure that a high quality of service is being delivered to the public.

* Opens center and secures the facility upon closing.

* Provides administrative support including data entry and updating and maintaining databases, computers and technology, photocopying, inputting and maintaining email newsletter and other systems.

* Assist DCRS technology team in setting up Audio Visual equipment including video conference equipment and Webex software. Interface with DCRS technology staff to assist in troubleshooting ActiveNet, AIM, and other software issues.

* Reconciles daily close out receipts and provides them to the appropriate person at the end of the day.

* Responds to written and verbal requests for information from public, guests, staff and outside agencies. Maintains member communication including wellness calls, program updates and promotion.

* Coordinates in-person and virtual programs in consultation with other staff. This includes programming support, setting up audio-visual equipment, technology training, and the hosting of virtual and streaming programs.

* Prepares and straightens rooms for all program usage, such as special events, congregate meals, meetings, and trainings, including furniture and audio-visual arrangements.

* Interfaces with Facilities in issues relating to the building to include review of inspection reports for facility maintenance, preparation of work orders for maintenance and monitoring of progress and status.

* Works toward securing the safety and security of participants and staff.

* Completes and submits to immediate supervisor any incident, injury, accident or other related reports.

* Works as a team member on selected projects in supporting the daily work of the 50+ Center staff as well as the work of other DCRS staff on selected projects.

* Works and cooperates with coworkers and supervisors at all levels and attends meetings and trainings as directed by supervisor.

* Provides support to building partners (Recreation and Parks, Health Department, Howard County Library and Howard County Police) with referrals, communication, directions, and coordination.

* Adheres to programs, county policies and procedures.

* Staff rentals and building used by renters, community and nonprofit organizations and other external use groups. Work may require evening and weekend hours.

* Complies with department and fiscal policies with any PDQ card purchases.

* May require work some evening and weekends.

* Participate in activities related to Emergency Management as requested, including work outside normal business hours.

SUPERVISORY RESPONSIBILITIES:

This position has no supervisory responsibilities.High School Diploma or GED and three years of experience, or equivalent combination of education and experience.

PREFERRED EDUCATION, KNOWLEDGE, SKILLS AND ABILITIES:

* Associate's degree or equivalent from a two-year college or technical school.

* Cash handling experience.

* Customer service experience with older adults or its equivalent.

* Strong interpersonal skills, excellent oral and written communication skills and the ability to work well with an ethnically diverse population.

* Strong computer proficiency especially with Microsoft Office (Word, Excel, PowerPoint), database management and spreadsheet applications necessary.

* Proficiency in virtual platforms and use of technology for human services delivery.

The noise level in the work environment is usually moderate. There is the usual noise and interruption associated with the front desk area of a large senior center.

LANGUAGE SKILLS, MATHEMATICAL SKILLS AND REASONING ABILITY:

LANGUAGE SKILLS:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine-reports ,md correspondence. Ability to speak effectively before groups of customers or employees of organization.


MATHEMATICAL SKILLS:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.


REASONING ABILITY:

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
