Job description

The OSUCCC-James Pelotonia Institute for Immuno-Oncology (PIIO) is a comprehensive bench-to-bedside research initiative focused on harnessing the bodys immune system to fight cancer at all levels from prevention to treatment and survivorship. PIIO researchers work to understand fundamental mechanisms of cancer immunology towards the development of novel immunotherapeutics in the areas of systems immuno-oncology, immunogenomics, cell therapy and translational immuno-oncology.

The PIIO is led by founding director Dr. Zihai Li, a board-certified medical oncologist, cancer immunologist and leader in academic medicine who also serves as a full professor in the Department of Internal Medicine, and as the deputy director of translational research at The Ohio State Comprehensive Cancer Center (OSUCCC). Dr. Lis laboratory has been continuously funded by the NIH for the last two decades, with active funding that includes one P01 and three R01s (as PI or MPI). The Executive Assistant will function as an executive assistant to the director of the PIIO, serving as a critical partner in advancing the goals of the directors office as well as the PIIO. Job duties include

Scheduling: Coordinates and oversees Directors appointment calendar including scheduling meetings with cancer center, medical center, and university leadership as well as potential industry partners. Coordinates travel, lodging and other associated reservations and logistics, and prepares and tracks reimbursement of travel expenses. Ensures critical due dates are met for manuscript revisions, grant submissions, grant reports, HR matters such as annual reviews, and fiscal matters.

Communications: Attends meetings, records minutes, and distributes minutes accordingly. Reviews and responds accordingly to routine correspondence and electronic communications and confidentially relays highly sensitive information to the proper stakeholder. Answer telephone lines, answer questions, screen and refer appropriately. Open, screen and distribute mail. Establish and maintain confidential files.

Special Events: Coordinates reoccurring seminars, symposia, and meetings such as the PIIO weekly research in progress seminars, invited speaker seminars, annual IO symposium, scientific advisory board meetings, etc. This includes meeting planning, room reservation, set up and take down, and coordination of refreshments.

Document Preparation: Maintains Directors CV. Assists in drafting proposals, presentations, reports, and other documents. Assists Director and Associate Director for Research Communications in the preparation and submission of grant applications, manuscripts, presentations, etc. Performs library searches and provides editorial assistance to the Director and Associate Directors. Preparation of meeting materials.

Special Projects: Manages special projects as assigned by the Director including recruitment and on-boarding of new faculty members, recruitment visit logistics (agenda and escorting during the visit), Pelotonia fundraising, and Peloton administration.


Education Desired

High School diploma or GED. Certification or vocational training may be required. Associate degree in relevant field is preferred. 2 years of relevant experience required. 4-6 years of relevant experience preferred.

Required Qualifications

Knowledge of standard office practices and procedures; proficiency using various software, including (but not limited to) word processing, spreadsheets, and presentation software (e.g. Microsoft Office Suite). Working knowledge of Workday and Teams Meetings preferred.

By the start of employment, all newly hired employees must receive at least the first dose of a two-dose series or a single dose of a one-dose series COVID-19 vaccination. The Target Salary Range is: $21.11 - $27.77 per hour
