While you help us advance the mission, we ll help advance your career.HOW AN ADMINISTRATIVE ASSISTANT IV WILL MAKE AN IMPACT:Working in a discreet environment handling sensitive and personal information dailyCompleting transactional duties with special attention to detail, being organized, and multi-taskingInteracting with our ongoing POC customers, team members/Leads, and employees via phone, Skype or emailHandling and receiving incoming and outgoing correspondenceAs an Administrative Assistant IV, your day-to-day responsibilities will include:The Administrative Assistant (AA) will be part of a thirteen officer support staff, and will have daily interactions, or be engaged with other team membersThe department is looking for an energetic, customer service and detailed oriented officer to provide support, and be the focal point for the front officeThe AA will interact with all levels within the division, to include external customers from other IC organizationsThe AA will be the conduit between the front office, its mission partners, and the internal support teamThe AA will be expected to work independently on tasks assigned by the sponsor department front office principals and act as the front office managerResponsibilities include, but not limited to, email and calendar management, maintaining and updating records, check in/check out process, T&A administration, scheduling visitors and visitor accessesThe AA will also provide support for courses being given, supporting course administratorsThe AA must possess strong customer service skills, as well as verbal and written communication skillsThe AA should have an intermediate level of proficiency with the Microsoft Office Suite of products (Outlook, Word, PowerPoint) as well as the Sponsor Travel System, Sponsor Voucher System and Sponsor Access tracking systemIt is preferable that the AA possess a minimum of 1 year of experience as a AA Level IV or the equivalent as a senior level front office administratorThe AA is expected to be the point of contact for the office and to relay any messages to the office based on defined priorities from the front officer executive staffThe AA will greet any visitors to the office and answer general questions brought to them by other office personnelThe AA will serve as the focal point for all front office administrative actionsThe AA will open, sort and distribute incoming or outgoing mailThe AA will respond on a daily basis to their principals, other managers and staff on all administrative dutiesThey will also respond to counterparts and mission partners. The AA is expected to be the main point of contact for the office and is responsible for relaying any messages or disseminating any concerns throughout the office based on the defined priorities set by the management of the three senior officersThe AA will maintain an awareness of internal structural levels and hierarchy within the organization by being cognizant of internal and external interrelationships, styles, and methods of operationThe AA greets visitors of all levels for the three senior officers and escorts visitors as neededThe AA will be responsible for maintaining and managing the schedules of three senior officers, which requires close coordination and attention to detailThe AA will be asked to make critical, and at times, last minute changes to resolve schedule conflicts and ensure that all parties involved are updatedThe AA must be fully cognitive of the criticality, sensitivity, and confidentiality of the issues they are made aware of during daily interactions, and resolve conflicts with discretion, forethought and tactfulnessThe AA is responsible for answering the phone, greeting and directing any walk-in traffic to the office, and answering general queries by other personnelThe AA will ensure all communications with principals and customers is executed in a courteous and professional mannerWHAT YOU'LL NEED TO SUCCEED:The position requires an active TS/SCI with Polygraph clearanceHS Diploma and 7 years of relevant experience or equivalent combination of education and experienceWork hours are 8:00am -4:30pm (1 hour lunch) and the work schedule can be discussed with selected candidateProficient Word, Excel, Outlook, PowerPointAble to perform duties with minimal supervision and some team interactionThis position is on customer siteGDIT IS YOUR PLACE:401K with company matchComprehensive health and wellness packagesInternal mobility team dedicated to helping you own your careerProfessional growth opportunities including paid education and certificationsCutting-edge technology you can learn fromRest and recharge with paid vacation and holidays#OpportunityOwned#GDITCareers#WeAreGDIT#JET#CJPost#EAPolyReferrals2023#AdminPoly2023#IntelAdminJobsThe likely salary range for this position is $101,566 - $123,625. This is not, however, a guarantee of compensation or salary.
