ABOUT

Equis is a set of organizations (including Equis Research, Equis Institute, and EquisLabs) working to create a better understanding of Latinos, innovate new approaches to reach and engage them, and invest in the leadership and infrastructure for long-term change and increased engagement.

Since 2019, we have served as a hub for Latino research and innovation, leaning into the complexities of Latino voters in the United States, ensuring they get the sophistication of treatment and level of attention that matches their critical role in the electorate. Equis is also committed to developing Latino leaders across the progressive space, serving as a convener of organizations and individuals leading Hispanic-focused programs. The scope of our work is designed to engage Latinos in multiple arenas because we believe that this moment requires a complete rethinking of how we engage Latinos.

Moonshots encompass a range of 5-10 year projects targeting key areas: Democracy, Culture, Media, and Talent. With an intentionally broad scope, our aim is to redefine Latino engagement across multiple sectors. We collaborate with partners and allies, prioritize research and learning, and develop programs to tackle the underlying challenges hindering Latino influence and participation.

The Democracy Moonshot is designed to radically transform the civic experience of Latinos in this country and raise their participation in elections and civic life to levels commensurate with their potential as the second largest voting bloc in the country.
POSITION SUMMARY

Reporting to the Initiative Director, Equis is seeking a Logistics Manager who will help support the launch, implementation, and ongoing programming of the 2024-2025 Moonshots Democracy programs that seek to increase Latino civic participation at scale in key communities across the US.

The role will closely work with programmatic leads to oversee projects to completion, ensure there are mechanisms in place for expenditures to remain within budget and are compliant with our various IRS statuses, and oversee the day-to-day activities to ensure intentional efficiency and efficacy. Acting as a liaison between Operations, Finance, and other Equis teams and the Moonshots Democracy, the ideal candidate will be someone who believes in an open door policy, thrives in a collaborative, cross-department work environment, is customer-service driven and has excellent attention to detail.

DUTIES AND RESPONSIBILITIES
  • Organizational Liaison
    • Serves as the bridge between Operations, Finance, and other Equis teams and the Moonshots Democracy department to manage stakeholders and shared services providers that will provide services to programs, specifically in the realm of legal, compliance, operational, and event support.
    • Ensures all relevant parties across projects are identified, brought in, and kept up-to-date to eliminate unnecessary silos and foster Equis values related to transparency, inclusivity, and excellence.
  • General Operations Support
    • Work closely with program leads and the Finance Department to ensure projects are on track in relation to submitted budgets and cash flow is appropriately tracked.
    • Create and manage reporting, including weekly status reports to Democracy department leads and provide project status updates, as needed.
    • Support Democracy department staff onboarding, training, and ensures new and existing staff are able to find resources.
    • Other duties as assigned.
    • Develop SOP (standard operating procedures) for our systems and processes, ensuring that all team members have a clear understanding of our operations.
  • Legal Compliance Management:
    • Support all components of the vendor contracts lifecycle from ensuring that contracts and agreements are ready for processing, to following up with vendors on an as-needed basis, and managing when contracts and agreements are set to expire. You will work closely with staff providing timely reports on the status of contracts and agreements.
    • Negotiate and redline contracts to ensure they align with Equis' priorities and inform clients about potential business risks.
    • Ensure that all contracts, agreements, and MOUs comply with local, federal, and Equis standards.
    • Identify and resolve issues as they arise, and develop effective solutions as needed.
  • Vendor Management:
    • Work closely with relevant partners within the Latino Democracy ecosphere.
    • Serve as the first point of contact with vendors and business partners regarding requests for services or critical issues to be addressed (e.g., travel logistics, materials procurement, administrative support, operations needs, and more).
  • Logistics and Planning:
    • Create and maintain event and logistics plans and budgets.
    • Alongside the Operations and PTC departments, support the planning of the Democracy team travel. Events include but are not limited to listening tour travel, design lab, and Equis staff travel to active program locations.
    • Serve as point of contact for the company travel platform, responding to staff requests for travel arrangements as needed.
    • Communicate and liaise with all vendors related to travel: hotels, meeting spaces, etc to ensure staff travel accommodations are met and authorization forms are sent and received.
    • Liaise with accounting and payroll to account for the company's travel expenses via monthly and weekly reports.


MINIMUM QUALIFICATIONS
  • 4+ years of experience in operations and program management
  • Excellent project management skills, including attention to detail, follow up and proactively providing status updates, meeting deadlines and providing key deliverables
  • Demonstrated experience of taking ownership and personal accountability for projects and responsibilities within their purview with the ability to manage multiple priorities and projects in a fast-paced environment
  • High degree of adaptability and ability to move in a fast paced, evolving environment.
  • The ability to collaborate and communicate effectively with multiple stakeholders, external and internal partners, across a large organization while maintaining a high level of confidentiality
  • Strong analytical and impeccable problem-solving skills with the ability to work independently with minimal supervision
  • Advanced knowledge of Google Sheets to create, maintain and share dashboards and projects
  • Demonstrated commitment to diversity, equity, belonging, and inclusion


Preferred Qualifications
  • Previous experience working in a start-up environment and politically and/ or research related work
  • Experience with multi-entity organizations, specifically 501 c(3) and c(4)
  • Experience in polling, data analytics, and cultural research
  • Bilingual in Spanish and English
  • Understanding of the United States political ecosystem, including experience in some combination of movement politics, and advocacy.
  • Deep experience living and working with Latinx and/or immigrant communities.


PHYSICAL REQUIREMENTS

As this is a remote position, the person in this position must be able to work on a computer for all or part of the work day. This position requires the ability to travel which may encompass all or part of the work day. Travel may involve transportation via airplane, car travel, or trains and for extended periods of time.
WORK ENVIRONMENT

Equis is a national remote office environment with team members located across all continental U.S. time zones. Candidates should be prepared to either work from home or a location of their choosing that is located within the continental United States. Equis has implemented a pro vaccination policy, subject to exemptions. Candidates must be willing to follow the established policy to prevent and limit the exposure of COVID-19.

This position requires the ability to work core hours Monday through Friday in your local time. This position will require occasional nights and weekend work and some in-person attendance for all-staff or department level events. Travel is anticipated on average at 1 trip per month and may require overnight travel.
COMPENSATION & BENEFITS

This is a fully remote (USA only), full-time position, EXEMPT with monthly domestic travel and a competitive salary range of $78,000 - 90,000 per year. This salary range represents a good faith estimate of what Equis may pay for this position at the time of posting. The salary offered to the selected candidate will be determined based on factors such as budget availability and commensurate with the selected candidates' experience. As the role progresses, there is potential for salary growth and professional development opportunities commensurate with the evolution of the role.This position is currently funded through 2025.
