Description

The Nickol Global Solutions (NGS) Project Associate supports USAID project activities and new business opportunities, including a wide range of tasks related to project management, research, and new business development. The Project Associate excels at organizing and carrying out administrative and operational tasks; developing and tracking budgets; supporting new business opportunities; and recruiting qualified candidates for current and future openings. The Project Associate holds a Bachelor's degree in a relevant field and two (2) years of experience supporting donor-funded international development projects. Candidates with a Master's degree in a relevant field require at least one (1) year of experience supporting donor-funded international development projects. The NGS Project Associate is energetic and professional; creative yet systems-oriented; committed to making a difference globally; and eager to learn about what works in international development.

NGS staff are expected to work in person three days per week from our Alexandria, VA headquarters.

Duties:

Project Management
  • Support field office administration, including travel coordination, visa processing, vendor payment requests, invoicing, approvals, and updating of project-related trackers.
  • Process field reports, including time and expense reports and other client-related reports.
  • Review consultant invoices for correctness and verify that deliverables are achieved in a timely manner.
  • Draft and monitor consulting, employment, and subcontract agreements, including modifications.
  • Coordinate with project team to compile agendas for weekly teleconference and other project-related meetings.
  • Completes data entry of invoices (consultants, vendors, sub-awardees) as requested.
  • Assist with procurement and grant-related project activities.
  • Assist and supports communication to project and field team(s) and client.
  • Communicate scopes of work, policies, and allowances/benefits for team members and consultants.
  • Assist with copy-editing and review of deliverables to clients, ensuring proper English diction, grammar, formatting, and 508 compliance (Section 508 Amendment to the Rehabilitation Act of 1973).
  • Assist with recruiting and identifying candidates for a variety of field and DC-based positions, including sourcing; arranging and conducting interviews; complementing reference checks; verifying past employment records and documentation; and drafting onboarding documents.
  • Assist with budget monitoring, level-of-effort utilization, invoices, subcontractors' costs, expense reports, deliverables, etc., to monitor compliance with contract and NGS's regulations.
  • Ensures completeness of project documentation by saving relevant documents and approvals to SharePoint files.

New Business Development
  • Track new business opportunities on NGS's new business pipeline.
  • Participate on proposal teams and support overall new business efforts, including drafting select sections for proposals.

Leadership
  • May support NGS's social media presence.
  • Demonstrates inclusive behaviors and leadership consistent with NGS values.
  • Supports the development of standard operating procedures and tools (e.g., trackers, pivot tables) to ensure quality, consistency, and accuracy.
  • Performs other duties and responsibilities as required.


Requirements

  • A Bachelor's degree in international development or international relations, public policy, economics, communications, political science, or related field required.
  • Minimum of two (2) years of relevant administrative or professional work experience; at least one (1) full year of that experience should be related to contracts, project management, financial management, or similar experience. Candidates with a Master's degree in a relevant field require a minimum of one (1) year of relevant experience.
  • Demonstrated ability to communicate clearly and concisely in both verbal and written communications; strong cross-culture communication and sensitivity skills; excellent customer service skills, particularly in written communications.
  • Demonstrated ability to handle routine administrative tasks and operational issues, often with competing requirements and strong attention to detail.
  • Ability to work independently and as part of a team.
  • Demonstrates resourcefulness in problem-solving; initiative to learn new skills; and a genuine curiosity in the work NGS undertakes.
  • Willingness to travel and work abroad in less developed countries for occasional short-term (2 to 6 weeks) assignments.
  • English fluency.

Desired Experience and Qualifications:
  • Previous experience working in international development and/or living or conducting volunteer work in developing countries.
  • Experience with data entry, developing budgets, financial analysis, filing, and records management.
  • Understanding of donor/client regulatory and management requirements and demonstrated ability to apply and adhere to those requirements in project management.
  • Professional proficiency in at least one other language.

While performing the duties of this job, the employee is regularly required to talk, hear, and use hands to finger, handle or feel objects, tools, or controls. The employee is occasionally required to reach with hands and arms. Specific vision abilities required by this job include close vision. The employee must occasionally lift or move up to 25 pounds.
