Description

Position Summary:

RFF's Events Specialist, based in Washington DC, is responsible for planning, producing, promoting and implementing in-person and virtual events that elevate RFF's research and public standing. The position is ideal for a creative, detail-oriented events professional with a track record of developing engaging policy-focused convenings.

Responsibilities:

  • Help to develop, promote, plan, and execute RFF's convenings strategy, ensuring that public, private, and internal events are expertly built and implemented every year. A typical month of events programming entails approximately 2 public events, 1-2 private events, and 2-3 internal events and meetings.
  • Serve as the lead on all aspects of event outreach, including liaising with events speakers, developing invitation language, developing talking points as needed, and overseeing vendor relationships (e.g., AV, catering, and photography). Work with vendors to negotiate and sign events-related contracts and identify/engage new vendors as needed.
  • Coordinate all logistical details for RFF events, including organizing venues, audio visual support, catering, photography, event staging and design, printing, and travel. Develop and oversee the implementation of a run-of-show for every event.
  • Serves as key point of contact on day-of execution for public and private events and problem-solve when challenges arise to ensure smooth of events.
  • Grow RFF's external events audience through innovative engagement tactics and efficient allocation of RFF's events budget.
  • Some writing responsibilities, including developing language for audience and speaker invitations as well as ensuring appropriate introductory and concluding remarks advance RFF's brand and priorities.
  • Maintain calendar of all RFF events to ensure adequate time for planning across departments, as well as sufficient staff and resourcing.
  • Work closely with RFF's development team to identify opportunities for appropriately including fundraising engagements into event programming.
  • Oversee all events operations and logistics related to RFF's three annual board meetings, also serving as a key liaison for members of RFF's board and executive team on the day of board meetings.
  • Support various internal RFF events, including academic seminars and RFF's annual summer party and holiday party.
  • Proof and copyedit event promotional materials.
  • Manage regular invoice submissions for accurate budget tracking and reporting.
  • Plan and implement marketing automation workflows to increase efficiency of events and internal communication.


Qualifications:

Minimum Qualifications:
  • Bachelor's degree in Communications, Marketing, Hospitality, Journalism, Public Policy, or a related field and 2+ years of relevant event experience or 6 years of experience with no degree
  • Any equivalent combination of training, education, and experience that demonstrates the ability to perform the essential functions of the position
  • Technical Requirements:
    Proficiency in the following software programs is necessary for this role:
    • Microsoft Office, including Word, Excel, PowerPoint, Outlook
    • Internal communications platforms such as Microsoft Teams
    • Live conference and streaming services, such as Zoom
    • Experience using project management tools, such as Asana
    • Experience using survey and online form tools, such as Jotform, SurveyMonkey, Microsoft Form, etc.
    • Experience using email marketing and event management platforms such as Mailchimp and Eventbrite is preferred but not required.
    • Ability to lift 25 lbs.

Preferred Skills:
  • Experience using Adobe Creative Cloud or similar design products preferred but not required
  • Writing experience preferred but not required
  • Proactive inclination to identify, adapt and respond to needs during event planning and implementation
  • Superior level of service, customer attentiveness, and eye for detail


Compensation and Benefits:

  • $72,500-$78,500 a year or potentially higher depending on experience
  • 35-hour work week
  • Flexible summer hours (4-day work week June-Sept)
