Experience

Minimum two (2) years of work in medical office setting.

Minimum two (2) years in a supervisory or management position.

Duties and Responsibilities:

Oversee and support all administrative duties in the office and ensure that office is operating smoothly.

Scheduling appointments for patients and provide intake documents, maintaining calendars, doing research, and creating reports.

Utilize knowledge of continuous quality improvement principles to analyze and execute improvements in office operations and quality of care.

Work with prescribers to ensure accurate medication authorization and refills.

Ensure patient records are current and accurate.

Communicate with patients regarding inquiries and complaints.

Create excellent customer experiences.

Oversee eligibility and insurance authorizations and discharges.

Hire and train administrative staff.

Develop office policies and procedures and ensure appropriate implementation.

Utilize guidelines to ensure compliance with current healthcare regulations.

Establish, manage, and analyze office budget.

Oversee reconciliation of payments.

Monitor, supervise, and evaluate administrative staff.

Prepare, and submit payroll in a timely manner.

Knowledge, Skills, and Abilities:

Strong organizational and critical thinking skills.

Demonstrated experience with reviewing, submitting, analyzing, and adhering to billing revenue cycle.

Experience with regulations related to Medicare, Medicaid, and commercial insurance.

Human resources experience in hiring, supervision, and performance reviews.

Experience with HIPAA rules and regulations.

Strong customer experience skills, computer literacy and writing skills.

Demonstrated skill in using EMR healthcare software, TherapyNotes, etc.

Experience in ADP payroll, Microsoft Suite (Power Point, Excel, Word, etc.).

Experience with continuous process improvement concepts and practices.

Education Requirements

High School diploma, required.

Bachelor's degree or Associate's degree in a related field, strongly preferred.

Certified Medical Manager (CMM) or Certified Medical Practice Executive (CMPE), an advantage.

Remote Work Expectations:

Designated work area/office that supports applicable privacy laws to conduct the day-to-day operations of the business.

Attend virtual meetings and provide update and reports.

Regular status reports are due to CEO.

90-day probationary period enforced.

Flexible work from home options available.
