Job Description

The Assistant Project Manager is responsible for assisting the Project Management Team with the dailymanagement, coordination, and execution of the construction process. This role will assist with safetymanagement, quality, cost management, contracting, scheduling, estimating, bidding and contract administrationfunction to ensure successful completion of the project, both timely and within budget.

ESSENTIAL DUTIES + RESPONSIBILITIES

Safety

Enforce the DAVIS Safety program in accordance with DAVIS Policies and Processes, local, state, andfederal laws to include all subcontractorsParticipate in and reports on safety walksAssist in the development of project-specific safety plan and orientation processObtain and maintain current certifications for First Aid, CPR and OSHA

Technical Knowledge

Maintain a complete, current and accurate set of contract documents and "as-builts"; electronically postand update drawings with RFIs and submittalsPrepare change proposals, negotiate, execute, and issue change orders to subcontractors and others;prepare revisions to the budget, as a result of change ordersUtilize subcontract terms and know how they apply to various situations on a projectTrack and obtain properly executed documents to include contracts, insurance certificates, bonds andother documents as requiredAssist and / or lead with project meetings, internal, owner or subcontract meetings, as required withsupervision of lead Project ManagerPrepare subcontractor meeting agenda and supporting materials; begin to run weekly meetings withassistance / participationMaintain meeting notes and issue meeting minutes that have been reviewed and approved by ProjectManagerAssist and / or lead in the preparation of the Project Status Report (PSR) to include project safetyreports; updating cost management items, schedule, and tracking document; identifying risk; andgenerating project photosReview, approve and code the subcontractor and vendor invoices, as directedLead and / or partner with DAVIS Superintendent to run subcontractor preconstruction, progress, andcoordination meetings, including the issuance of meeting minutes, as directedAssist in the development of site logistics and sequencing diagrams; create the documents using propersoftware systemsAssist in monthly project owner invoicing as required including subcontractor invoicing reviews, materialinvoicing review, budget managementAssist and / or lead in the management of project closeout process with preparing and completing thejob close out check lists, punch list process, collecting and issuing project close out documentationGather documentation necessary to assist / execute financial closeout with owner, subcontractor and /or vendor disputesTake progress photos and save onto server; issue a photo report, as necessaryPerform other duties as assigned

Quality of Work

Participate in the implementation, and utilize the DAVIS Quality Management system in the execution ofthe projectUsing DAVIS standards, review and prepare proper submittals to comply with contract documentsAssist with the implementation of the budget/cost control process, change management process,invoicing process, Project Status Report process, schedule control and maintenance process inaccordance with the DAVIS quality standards on a consistent basisCreate and manage quality control and deficiency logs utilizing Latista, or similar softwareAssist in the development of thorough scopes of work for each trade to ensure buy-out completenessAssist in the process to solicit, review and analyze bids from subcontractors and material suppliers forcorrect scope of work; assuring accuracyLearn and coordinate with other project team members to assure adherence to Best Practices

Identify and execute a proactive approach to solving project issues including supporting active research,coordination with other DAVIS resources, connecting with Subcontractor community as necessary tohelp foster creative solutionsWrite fully coordinated RFI's that offer solutions and field information to the design teamImplement solutions in a timely manner

Manage task priorities and execute effectivelyOrganize workflow, workspace, files and resources effectivelyKnow the details of the project while maintaining a big picture outlook
