Location: Coral Springs, FL 33065
Position: Unit Secretary
Pay Rate: $ 23.33/hr
Duration: 13 weeks
Expected Shift: Day 5 8-Hour (09:00 - 17:30)

Job Summary:
Under close supervision, uses positive interpersonal skills in performing job duties that require interactions with patients, visitors and members of the patient care team. Performs secretarial duties, maintains unit supplies, assists with patient transportation, types unit correspondence and maintains unit and patient records in order to support the delivery of quality patient care.

SUPERVISION:
  • Reports to: Nurse Manager or Charge Nurse

  • TECHNICAL COMPETENCIES:
    1. Performs receptionist duties for the assigned department.
    A. Answers telephone, identifies self and work station per customer service expectations.
    B. Receives, documents and routes messages to appropriate person, providing pertinent information: name of caller, extension and/or number, message, time of the call, etc.
    C. Maintains current information regarding staff assignments and location, etc.
    D. Facilitates admissions, transfers and discharges through timely coordination with charge nurse, housekeeping, admitting clerks.
    E. Assists physicians with medical records, obtaining patient data, etc.

    2. Facilitates transcription of M.D. and nurse orders.
    A. Informs the nurse of M.D. orders.
    B. Clarifies confusing or illegible orders prior to acting on the request.
    C. Prioritizes multiple orders based on the nurse's direction and/or charge nurse's clarification.
    D. Enters orders/requests with accuracy.
    E. Provides other departments/offices with complete information.

    3. Organizes unit supplies and patient records.
    A. Orders and distributes supplies to maintain the proper level as prescribed by the dept. manager.
    B. Obtains additional or special-order supplies as requested.
    C. Maintains a neat, organized work station,
    D. Ensures all pages of medical record are identified with patient's name and medical record number.
    E. Organizes and ensures completeness of the medical record at discharge.

    4. Demonstrates an awareness of nursing unit, patient and personal safety.
    A. Performs patient and unit related errands in a timely manner.
    B. Observes and promptly reports any unusual occurrences in equipment, supplies and environment to supervisor and appropriate department.
    C. Inventories, orders, receives and ensures availability of supplies, linens and nourishment as needed on the nursing unit.
    D. Accurately files, posts and distributes unit related materials.
    E. Demonstrates cost effectiveness in the use, monitoring and maintenance of unit supplies.

    5. Enhances the daily operation of the nursing unit by demonstrating organizational skills, ensuring availability of supplies, performing unit errands, and assisting with patient transportation.
    A. Performs patient and unit related errands in timely manner.
    B. Arranges for and/or assists with patient movement/transfers throughout the hospital in a safe and timely manner.
    C. Inventories, orders, receives and ensures availability of supplies, linens and nourishment as needed on the nursing unit.
    D. Accurately files, posts and distributes unit related materials.
    E. Demonstrates cost effectiveness in the user monitoring and maintenance of unit supplies.

    JOB QUALIFICATIONS:
    • High school graduation or equivalent, or graduate of accredited unit secretary program.
