Executive Secretary to the Managing Partner

Job description

The Executive Secretary to the Managing Partner is a highly organized and professional Legal Secretary with experience in private client, international and high net worth client matters. This position provides primary administrative support to the managing partner using highly effective and professional communication skills, diligence, and the ability to manage multiple tasks efficiently. Essentia Job Functions:

* Provide administrative support to partner(s) specializing in tax practice.

* Prepare general business documents, correspondence and tax related items.

* Assist in organizing and maintaining client files, including tax records, correspondence, and documentation.

* General calendar management including scheduling meetings, appointments, and calls.

* Draft correspondence, memos, and other legal documents related to tax matters.

* Manage to-do lists and ensure partner tasks are calendared, updated and reviewed daily.

* Communicate with clients, government agencies, and other parties.

* Coordinate with other legal and accounting professionals and support staff to ensure efficient workflow.

* Assist in billing and invoicing for services provided. Requirements:

* Bachelor's degree in legal studies, Business Administration, or related field preferred.

* Proven experience as a Legal Secretary required.

* Proficiency in legal research and document preparation.

* Familiarity with client management, time and billing and document management software systems.

* Excellent communication skills, both written and verbal.

* Exceptional organizational and time management abilities.

* Proficiency in Microsoft Office Suite, document management, time and billing and workflow software.

* Ability to maintain confidentiality and handle sensitive information with discretion.

* Detail-oriented with a high level of accuracy.

* Ability to work independently and as part of a team in a fast-paced environment.

Preferred Qualifications:

* Certification as a Legal Secretary or Paralegal preferred.

* Experience working in a law firm or specializing in private client or tax law preferred.

General areas of Accountability:

* Must conduct business and personal affairs in a manner that is always a credit to the company.

* Must maintain a good credit rating while employed with the company.
