Staff Assistant

Job description

Highly regarded business association is looking to add a staff assistant to their Washington, DC office. The organization represents C-Suite executives from the most prominent real estate companies in the U.S. and focuses on key policy issues impacting real estate and the economy.


You should have a Bachelor's degree and 1- 2+ years of administrative experience (through internships or after college), outstanding attention to detail, excellent written and verbal communication skills, and ability to thrive in a team-oriented environment.


The organization offers growth and opportunity to take on additional responsibilities, a hybrid work week (1 day from home and 4 days in office), summer hours, excellent benefits, and a friendly, professional team. As part of this staff of 10, you will be an integral part of the team and learn the industry!


RESPONSIBILITIES:


  • Manage a variety of administrative responsibilities
  • Calendar management - schedule internal/external appointments and maintain calendars
  • Coordinate office luncheon meetings (work with external vendors)
  • Set up conference room for in-house meetings
  • Manage mail distribution
  • Prepare communications including memos, emails, invoices, and other correspondence
  • Prepare various monthly reports
  • Manage filing systems, both electronic and physical
  • Assist in preparation for quarterly meetings (annual meeting, board meetings, committee meetings), and attend annual meeting and other meetings
  • File FEC reports (Federal Election Committee)
  • Manage PAC
  • Update membership database with any changes
  • Assist the Director of Meetings and Membership Services
  • Manage key cards
  • Maintain office supplies, kitchen supplies
  • Additional responsibilities as needed


ABOUT YOU:


  • Bachelor's Degree with 1 - 2 years of relevant administrative experience in a professional organization (through internships or post-graduation)
  • Poised, positive, and highly professional with a friendly demeanor
  • Strong proficiency in MSOffice - Word, Excel, PowerPoint, Outlook, tech savvy
  • Ability to work independently, prioritize work and manage multiple tasks
  • Strong organizational skills and attention to detail, able to meet deadlines
  • Strong communication skills, verbal and written
  • Proactive, willing and eager to take on new responsibilities
