Legal Administrative Assistant

Job description

LHH Recruitment Solutions is seeking a Legal Administrative Assistant for a great firm in Columbia, MD. The Legal Administrative Assistant provides high quality administrative support to attorneys and professionals to enhance efficiency and over all productivity. This opportunity is temp-to-hire and fully on-site Monday-Friday (9AM-5PM or 10AM-6PM).

Responsibilities

  • Create, format, edit, proofread, and manage Word documents, Excel spreadsheets, and PowerPoint presentations
  • Draft routine correspondence, forms, etc. under the supervision of attorneys
  • Manage work requests from attorneys and complete according to instructions and deadline(s)
  • Mange calendars and scheduling; coordinate changes in meeting schedules using independent judgment and knowledge of priorities
  • Answer and route incoming phone calls using judgment to take appropriate action
  • Greet visiting clients and guests; notify appropriate individuals of arrivals and provide general assistance to clients and guests
  • Open, prioritize and distribute incoming mail and prepare outgoing mail; use judgment and initiative to determine to whom to refer urgent mail, e-mail, faxes, etc..
  • Make travel arrangements working from general instructions on destination, purpose of travel, and knowledge of travel preferences
  • Track, organize, and process expense reimbursements, invoices, and check requests; handle monthly billing procedures
  • Establish and maintain up-to-date electronic and physical client files
  • Prepare information to open and close client files, prepare engagement letters, maintain filing systems, maintain databases, and conduct a preliminary investigation of possible conflicts regarding newly assigned cases
Qualifications
  • Minimum of 2 years' experience as a Legal Administrative Assistant or Legal Assistant in a law firm setting required
  • High level of proficiency in Microsoft Word; intermediate proficiency in Excel and Powerpoint.
  • Aptitude for learning and use of other office software and technology as needed.
  • Knowledge of and experience with the various court requirements for filing documents and e-filing processes and procedures
  • Strong written and verbal communication skills
  • Excellent proofreading skills
  • Ability to exercise sound initiative and judgment
  • Ability to manage multiple priorities and work in a fast-paced, team-oriented environment
  • Work schedule flexibility, including availability for overtime


Pay Details: $65,000.00 to $85,000.00 per year
