Resident Enrichment Manager and Staff Chapel Liaison

Job description

SUMMARY: The following are the primary responsibility of the Resident Enrichment Manager:

Demonstrates Knollwood and ADF Core Values: Community, Accountability, Respect and Excellence

Overall responsible for planning, coordinating, scheduling, advertising, executing, monthly hall events, programs, classes and trips for Hall Residents.

Associate and communicate with Independent Residents to establish and build relationships, to create understanding to better provide for their wellness, life enrichment and overall Quality of Life. Discuss suggestions for activities and programs, empathizing with aging issues.

Address resident concerns, comments and suggestions as presented, and assist residents in problem resolution as needed. Inform management or other staff as appropriate

Review, approve, submit, process and track department invoices and billables.

Receive yearly wellness departmental budget information. Track budget expenses and revenues.

Primary Focus

Purpose is to serve the whole population and nourish the whole person using the 8 tenets of the KW Wellness wheel for guidance, and working with the CREATIVE ARTS & TRIP COORDINATOR for artistic endeavors on and off campus cultural and educational trips.

In addition to the responsibilities outlined above, the following is a list of general day to day responsibilities for which you are responsible:

Inform upper management of activities dynamics, needs and issues while securing management scheduled programs on the monthly calendar.

Decide on in-house speakers and musical performers/groups using the current database or on recommendation from staff and residents. Contact, communicate and contract with persons outside Knollwood for such programming including vetting, previewing the service, checking on line reviews. Submit W-9 and invoices to finance for payment immediately following the program.

Produce the yearly Art Show with the Creative Arts Coordinator involving the resident Artists and others.

Produce the yearly Knollwood Singers Show with the Creative Arts Coordinator involving singing KW residents

Oversee and schedule rooms/venues for programs. Ensures proper set up through communication with environmental staff as needed.

Oversee and set up microphone needs, projector and screen, podium, laptop, and other for programs as needed.

Monitor AV and sound equipment to ensure proper care and performance and propose additional equipment needed.

Oversee the service of piano(s) as needed; AS, CR, and KH.

Oversee and Maintain Hall Bulletin Boards.Provide approval for other departmental notices to be posted.

Oversee and Create promotional flyers for in house programs, calendar changes, new programming, and important information from other departments and or upper management.

Ensure in-house programs have all needed supplies to ensure

Manage - Oversee supplies; track orders, receive packages, stage and organize items.

Assist Dining services seasonal decorations as requested.

Oversee and manage catering through Catertrax is ordered for programs as required, at least one week in advance. Track cost in Budget spreadsheet.

Maintain Resident information containing:

Hall Resident Birthdays

Hall Resident Military Service

Hall Resident occupancy dates

Responsible for recognizing resident special occasion (I.e birthdays etc.)

Library Liaison.

Manager Motion Picture licensing.

Assist in maintaining Pool class schedule.

Attend house committee meetings as directed.

Participates in department head level management communication avenues, and initiatives.

Assist with maintaining & updating departmental input for the RIG.

Assist with bi-monthly BUGLE newsletter.

Contact, hire and contract with certified exercise instructors and set up class schedule; zumba, aerobics, sit and fit, brain fit and water aerobics.

Ensure Class instructor status regarding liability insurance and appropriate certifications.Approve for payment all class vendor invoices.

Work towards better communication in the department and to help resolve department issues and problems.

Facilitate and schedule the DC Board of Elections prior to primary & General Elections for residents

Research, create, edit, compile and print play summaries for monthly Play Lecture Program. Maintain participant list, distribute summaries, Schedule lecturer, venue, and zoom session. Submit monthly invoice.

Update Caremerge and Screen Cloud site including:

Monthly events, classes, programs, and trips

Zoom links for classes and special programs

Posters for events

Special announcements

Attendance for events and shopping trips.

Major duties and responsibilities:

Reconcile weekly collection plate monies-deposit with finance office, file signed receipts and check copies in Chapel Office.

Deposit special monies (flowers, pecans, love offering etc.) to finance office, file signed receipts and check copies in chapel office.

Copy all checks chapel receives as income.

Check and maintain inventory of Chapel supplies.

Set up resident ordering system for Easter lilies, Christmas Poinsettias or altar flowers. Order flowers from Florist and arrange for delivery. Set up in chapel using pedestals from storage as needed.Submit invoice to finance for payment. Ensure residents pay for their orders.

Create and maintain relationships and connections with the Catholic communities: Georgetown Jesuit, Gonzaga Jesuit, and Blessed Sacrament Parish for monthly Mass schedule of services including weekly mass, Holy days of Obligation, Confession and other services as directed by the Chapel Committee.

Create and maintain relationships and connections with other clergy

Create and maintain connections with organists, and other musicians for chapel services which might include memorial services.

Schedule clergy for protestant and Episcopal services, and communicate with Georgetown Jesuit community for Catholic Services schedule.

Track services to create and submit invoices to finance.

Request bulletin input from Chaplains. Type, format, print and stage the bulletins for services. Provide attendance sheet for service.

Provide signage and administrative support for special programs such as: National Day of Prayer, Pet Blessing, Pecan fundraiser, Lilies, Poinsettias as needed, and committee elections.

Support Memorial Service coordinator and Resident services manager for all memorial services held at KW Memorial Chapel.

Provide administrative guidance and support to Chapel committee by adhering to the Governing Document.

QUALIFICATIONS:

EDUCATION and/or EXPERIENCE

v Assoc. or Bachelor's degree in Therapeuticrecreation, gerontology or other health related field preferred

v 2 years minimum working in a senior living community

v Experience with military workings; as spouse or active duty or supportvery helpful

LANGUAGE/COMMUNICATION SKILLS

Ability to read and interpret documents such as safety rules, and standard operation procedures.Ability to grasp ideas and concepts in written emails/communications from all levels of writing ability.

Ability to speak effectively with residents and employees of the organization. Ability to build effective working relationships with other departments, and take initiative for ownership of projects to ensure success.

COMPUTER SKILLS

Knowledge of email, power point, Microsoft office including word, and video editor is helpful, as well as the ability to maintain and organize numerous digital files.Ability to use internet search engines, zoom, streaming services, and other technology.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply and divide in units of measure, using whole numbers, common fractions and decimals.

REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where limited standardization exists. Ability to interpret instructions furnished in written, oral, diagram or schedule form.

Ability to quickly problem solve and find workable solutions/substitutions.

PHYSICAL DEMANDS
