LOCATION: Washington, DC

REQUIRED QUALIFICATIONS / SKILLS

  • BA/BS Degree required
  • 7 or more years of experience
  • Ability to successfully complete a Public Trust Background Investigation

  • Ideal candidate is a customer-service oriented problem solver with the ability to work independently and as part of diverse teams
  • Excellent people skillsable to work with teams of varying sizes, technical abilities, and levels of authority with both internal corporate staff and teammates. An ability to work with many personality types and style preferences at the same time and help provide a constructive work environment.
  • Exceptional oral and written communication skills, organizational, critical thinking and analysis, meeting facilitation, and interpersonal skills are essential
  • Must be flexible in adapting to deadlines and changing priorities, has a pro-active attitude and a disciplined work ethic. A demonstrated flexibility of schedule and ability to handle last minute, short turnaround items. This includes an ability to quickly assess a situation or deliverable and then implement the most beneficial changes possible in the available time.
  • The ability to rebound and adapt quickly to sudden changes in deliverable requirements or deliverable expectations.
  • Thorough, detail oriented, and organized, with excellent time management skills and ability to prioritize and handle multiple projects at once.
  • Proficiency in Microsoft Office Suite products.
  • Familiarity with the FAAs Acquisition Management System (AMS) is a plus.
  • Ability to work and set-up video conference and virtual meeting rooms on various platforms is preferred (MS Teams, Zoom, WebEx, etc)

RESPONSIBILITIES

  • Work independently with minimal or no supervision.
  • Assist in other functions, such as planning, budget and fiscal control; personnel recruitment and placement; data systems; staffing standards development; and office management. Other duties may include proofreading documents; coordinating meetings; coordinating teleconferences; developing agendas; developing conference room requirements and scheduling requirements; documenting meeting minutes and action items; planning, processing and coordinating travel logistics; designing and printing charts and posters depicting organizational structure and matrices; assisting in the development, maintenance, and standardization of Web sites; creating documents, spreadsheets, and presentations; and providing logistical support when needed.
  • Attend meetings on behalf of the group and take detailed notes and minutes to provide to the team
  • Perform complete and through document reviews of external and internal documents and communications.
  • Organize and deliver correspondence to the staff, and respond to inquiries as required.
  • Provide expertise in general clerical, secretarial, receptionist, word processing, filing, and record-keeping tasks.
  • Perform administrative and management support services for a wide range of office functions.
  • Provide administrative support in the management of personnel, financial, operations, and technical programs.
  • Provide administrative support for group functions, sessions, and workshops.
  • Coordinate and interface with other offices.
  • Assist the Director and Deputy Directors front office when needed.
  • Arrange travel and submit travel vouchers for managers and employees.
  • Update the Operations Support directory in Knowledge Services Network (KSN).
  • Assist guests with VTC setup and troubleshooting in conference rooms.
  • Add and delete employees from FAA emailing lists.
  • Manage eTravel Modification Profile Request for organization changes.
  • Create Routing Pool forms to modify and add approvers.
  • Ensure that multiple memos are gridded and signed by the appropriate parties.
  • Receive mail and deliver to employees.
  • Review and approve travel requests in E2, the system used for Government travel.
