The American Red Cross seeks a Business Operations Associate to provide administrative and operational support to the programs of International Services (ISD) and Service to the Armed Forces (SAF). The American Red Cross prevents and alleviates human suffering in the face of emergencies by mobilizing the power of volunteers and the generosity of donors.

Job Profile Summary

As a Business Operations Associate, this position will serve as an administrative and operations point of contact, and department representative. This staff member will interact with all levels of staff and management in the International Services and Service to the Armed Forces departments, within the American Red Cross organization as well as with external partners and stakeholders. The Business Operations Associate contributes to the daily coordination and management of the operations, logistical support, systems liaison, communications, and human resource needs of the teams. The associate plays a crucial role in ensuring the delivery of the Red Cross Mission domestic and overseas.

Job Description Responsibilities:
  • Leads coordination of administrative and operational processes and tasks that support ISD & SAF teams to carry out their mission-driven work. This ranges from office management to onboarding of new employees to ensuring consistent messaging through department-wide communications.
  • Provides administrative support to and acts as administrator for various applications like SharePoint, Coupa, Teams, DocuSign, Zoom and 15Five.
  • Provides direction and support to volunteers for administrative tasks necessary for the business. Evaluates volunteer performance. Plans work schedules, assigns or delegates work daily. Engages volunteers regularly to provide and ensure a strong volunteer experience.
  • Coordinates asset management of ISD's Information Technology equipment (mobile devices, laptops) and emergency response equipment to include: procurement and inventorying of deployment supplies, adherence to protocols for international deployments and trainings, shipment of equipment during disaster operation responses.
  • Assists in preparation of meetings, workshops, trainings such as coordination of travel arrangements, visa support letters, hotel bookings, facilities setup, catering, etc. and provides day-of support to include coordination of room set-up, management of admin/logistical needs, and food & beverage setup/breakdown.
  • Establishing and implementing work procedures and standards to improve efficiency and effectiveness of operations support.
  • Act as a liaison with corporate processing center (SSC), HR, and IT/Telecom to provide support, and run reports for ISD & SAF.
  • Coordinate with the Facilities team for meeting space reservations, parking, and office space allocation.
  • Performs other duties as assigned.


Essential Functions/Physical Requirements:
Depending on work assignment, may require ordinary ambulatory skills sufficient to visit other locations; or the ability to stand, walk and manipulate (lift, carry, move) light to medium weights up to 20 pounds. Requires good hand-eye coordination, arm, hand and finger dexterity, including ability to grasp, and visual acuity to use a keyboard, operate equipment and read technical information. Overall mobility is essential including sitting for long periods of time and working under challenging conditions.

Work Conditions:
Work is performed indoors with some potential for exposure to safety and health hazards related to emergency services relief work. May travel and participate in meetings and conferences throughout region and/or chapter jurisdiction, state and Red Cross system. Because the Red Cross is a disaster response organization, staff may be asked to be on 24-hour call during period of major disaster.

Qualifications

Education :
  • Bachelor's degree in Business, Public Administration or Humanitarian Services required or relevant related field. Applicable experience may be applied towards education requirement but must be in addition to years of experience required below

Experience:
  • Experience- Minimum 5 years' facilities business operations/administrative experience in community organizations, government agencies, non-profit organizations, or business. Experience working effectively with volunteers and various executive levels. Experience in coordinating administrative functions including information systems and facilities.
  • Management Experience: Prefer minimum 6 months experience supervising employees or volunteers.

Skills and Abilities:
  • Ability to exercise discretion and maintain confidentiality; work under minimal supervision on multiple high priority projects; exercise sound judgment in executing responsibilities; organize and structure office systems and processes, files, procedures, and projects; Ability to plan, prioritize and complete tasks under tight deadlines and the flexibility to meet sudden and unpredictable business needs, to maximize team performance and meet customer expectations.
  • Prepare various reports with advanced use of Excel and PowerPoint; handle varying schedules and deadlines in a fast-paced environment; Excellent organizational skills and ability to work with attention to detail. Strong interpersonal skills and the ability to create and maintain collaborative work relationships within the organization and with external stakeholders.
    Strong computer skills with MS Office software, including Word, Excel, PowerPoint, and Outlook. Good working knowledge of office organization, policies, and procedures, strong verbal and written communication skills are required. Ability to be a problem solver, quickly and efficiently. Must work well in teams and show adaptability, initiative, and strong personal integrity.
  • Must be adaptable and able to work in a fast paced environment as well as show passion and commitment to humanitarian efforts across the globe.
  • Travel: 0-10% Travel is required.


The salary range for this position is: $60,000 - $64,000
