Executive Assistant

Job description

Clark Construction Group, LLC is seeking an experienced Executive Assistant to support the Chief Financial Officer. The successful candidate will have at least five years of relevant experience, a track record of strong performance, as well as be highly organized, professional, and proactive. He/shewill have an Associates or Bachelors degree in a related field.

Responsibilities:

Provide operational, logistical, and administrative support to an executive, acting as a thoughtful and collaborative partner to help advance executive and departmental goals

Understand and support the executive priorities and effective time allocation by managing the calendar of appointments, booking and maintaining travel itineraries, and coordinating related arrangements

Exhibit a high level of client focus, serving as a courteous and professional point of contact and a positive representative of both the executive and the company

Help plan and prepare for both internal and external meetings and calls, including preparing background information as well as draft agendas, pre-read materials, presentations, or other materials; help track meeting notes and action items to ensure appropriate follow-through and accountability

Draft correspondence or other communications to support timely follow-up on requests or priorities

Manage and monitor departmental budgets, review monthly spending reports, forecast future spending, and prepare and process executive expense reports;

Help manage executive and department workflow and processes, including identifying and implementing opportunities for improved efficiency and effectiveness

Coordinate special projects that support department and company priorities

Manage multiple projects simultaneously and perform other duties as the business or executive priorities dictate.

Qualifications:

Associates or Bachelors degree in a related field

Five+ years of relevant experience, including supporting senior executives

Demonstrated ability to think and act proactively to anticipate the needs of executives

Strong planning and organizational skills, as evidenced by successful project and process management as well as the ability to track and manage various requests, action items, and other priorities

Attention to detail and the ability to develop documents, plans, or presentations that are complete, concise, and accurate

Ability to analyze and interpret both qualitative and quantitative information, and to identify relevant issues

High level of professionalism, client focus, diplomacy, and ease when interacting with various internal and external stakeholders, including company executives, clients, partners, business leaders, public officials, and community leaders

Flexibility and willingness to provide support to other projects and/or parts of the company

Ability to maintain discretion and confidentiality in all aspects of job responsibilities

Must be advanced in Microsoft Office applications

Ability to work overtime if/when needed to meet business requirements.
