Description

EXPERIENCE AND EDUCATION PRE-REQUISITE:
  • Design and implement comprehensive marketing strategies to create awareness of the company's business identity.
  • Tracks budgetary compliance weekly to ensure effectiveness and efficiency in the department's operations.
  • Tracks billing reports at least weekly to ensure all documentation and attendance records are in place and accurate; takes corrective actions where required.
  • Responds to issues and inquiries from Billing with immediacy and accuracy and assist to resolve issues so that accurate bills can be submitted on time.
  • Provide the Director and managing staff with support (e.g., filing, emailing, audits, and data entry)
  • Relay persons, guardians, or parents' concerns to the appropriate senior staff
  • Review and submit documents to the management staff and other interested parties
  • Schedule and organize appointments with prospective persons, Service providers, and their families
  • Maintain staff credential files and add new information as it becomes available in the system used by the organization
  • Help persons or visitors fill out paperwork and attend to correspondence
  • Maintain our inventory of office and supplies
  • Provide a monthly calendar of quarterly reports due, to the managers and director before the 25th of each month.
  • Ensures that all service requests are authorized both by a Service Authorization and a Prior Authorization prior to implementation.
  • Ensures that new intakes' records are loaded into the electronic records system in complete format; follows up with other team members as needed to ensure this critical task is accomplished.
  • Ensures that when people are discharged from the program, discharge reports are completed, billing and budgetary information is given to the finance department, and the person's record is closed out in the Electronic Records System.
  • Coordinates with the Quality Assurance Team specifically and the Management Team generally to ensure Innovative Day meets full compliance with the Provider Certification requirements and the Provider Performance Review.
  • Responds timely and accurately to requests from people served, their families/advocates/attorneys, and DDS Service Coordinators and QRS personnel.
  • Daily monitors the DDS MCIS dashboard for the resolution of issues.
  • Perform all other duties as assigned by the Program Manager or Executive Director.


Requirements

ESSENTIAL COMPONENTS OF THE POSITION:

Present positively, courteously, and with discretion when discussing ILS services and operations with external stakeholders- Communication skills, written and oral. Accept professional directives from supervisors and carry them out as requested. Ask questions appropriately for guidance and avoid challenging behavior that undermines the chain of command- Self Management.
  • Possess a solid understanding of effective marketing techniques.
  • Strong PC skills including proficiency in Excel.
  • Strong work ethic and team player.
  • A high degree of professionalism.
  • Ability to deal sensitively with confidential material,
  • Strong interpersonal (verbal and written) communication skills.
  • Ability to communicate with various levels of management.
  • Decision-making, problem-solving, and analytical skills.

QUALIFICATIONS:
  • A high school Diploma is required. A Bachelor's or Associate is preferred.
  • A minimum of 2 years experience of working with an agency providing support with compliance
  • Excellent Communication and Documentation skills including proficiency using Microsoft Office; excel and PowerPoint, and some experience with electronic health records preferred.
  • Strong experience in organizing and coordinating community-based programs.
  • Experience in managing and leading both staff team meetings and clinical meetings
