Job description

Position Title Event Coordinator, University Events Department The Office of University Events (OUE ) is seeking an Event Coordinator to organize a wide range of administrative activities, event preparation, and office operations in support of events managed by OUE . These include but are not limited to: OUE events (i.e. Commencement, Distinguished Speakers Series), presidential and universitywide events (i.e. dedications, press conferences, receptions, dinners), and events sponsored by other university departments, organizations, and external community partners. An ideal candidate for this position is detail oriented, organized, has the ability to accommodate changing priorities, and exercise flexibility and judgment. Non-standard hours (ie: night and weekend hours) are a periodic requirement of this position.

**Event Support** * Serve as staff presence at University and Presidential events providing hospitality to guests including internal and external stakeholders to ensure efficiency of event program and fulfil the needs of all event guests.

* Collaborate with the events team on a wide variety of administrative duties, including creating communications, such as invitations, guest lists, event detail briefings, and other event-related logistics.

* Use digital platforms to help in the event planning process including: Formstack and SurveyMonkey for survey and registration needs, Mailchimp for email campaigns and tracking, EMS for logistics support, etc.

* Update, manage, and monitor Office of University Events websites and other marketing objectives, such as social media.

* Represent the Director and Associate Directors, as needed, in university and external meetings and communications.

**Budget and Finance Management**

* Responsible for the Office of University Events IFR and UBF accounts, and generate office and event budgets.

* Ensure all accounts receivables and payable for the Office of University Events are processed and accurately recorded in a timely manner.

* Bachelors degree.

* Proficiency with Microsoft Office suite, specifically advanced knowledge of Outlook, Word, PowerPoint and Excel including experience creating and maintaining spreadsheets and related formulas.

* Strong verbal, written and interpersonal communication skills. Ability to communicate clearly and respectfully with diverse populations.

* Must be well organized, detail-oriented, flexible, possess a strong sense of accountability and be self-motivated.

* Must be able to work independently and exhibit good judgment.

* Must be able to effectively prioritize workload while ensuring multiple simultaneous projects are completed within expected deadlines.

Preferred Qualifications

* Prior administrative experience supporting budget and financial management (including Billing and Accounts Receivables) and communication to internal and external audiences.

* 1 or more years of event or administrative experience, preferably in a university setting.

* Experience with Adobe Creative Cloud and space & event management platforms, such as EMS , is preferred.
