Operations Support Coordinator

Job description

Objective:

Ensure seamless plant operations through effective meeting facilitation, rigorous action tracking, and proactive team support. Focus on fostering accountability and optimizing operational performance.

Core Responsibilities:

Meetings & Communication:

  • Facilitate daily management meetings, shift handovers, and leadership discussions for all shifts.
  • Lead the weekly Maintenance-Production and Plant Operations meetings.
  • Ensure clear communication of operational challenges, KPIs, and solutions.


Action Tracking & Accountability:

Maintain a dynamic action tracker for decisions made during meetings.

  • Drive accountability by reminding stakeholders of due dates and offering support.
  • Step in to coordinate resources or additional sessions when actions are delayed.


KPI Reporting & Analysis:

  • Present daily operational KPIs, highlighting trends and areas for improvement.
  • Collaborate with department heads to ensure accurate and timely reporting.


Training & Onboarding:

  • Oversee completion and documentation of essential training (safety, complaints, etc.).
  • Develop robust onboarding plans with department heads for new hires.


Assist HR with Performance Management Documentation and Crewing Needs:

  • Coordinate with HR on staffing needs and provide information with maintaining an up-to-date crewing report.
  • Collaborate on attendance issues, ensuring timely conversations and resolutions.
  • Assist in timely completion of employee reviews, stepping in when necessary.


Documentation & Process Improvement:

  • Accurate record-keeping for all meetings.
  • Identify bottlenecks or inefficiencies in processes and propose solutions.

Qualifications:

High school diploma/GED required.
