As an Office Services Coordinator, you will be the first point of contact for our Clark employees, clients, and visitors. You will coordinate activities, including redirecting phone calls and distributing correspondence. Multitasking and managing workload in a fast-paced environment are essential for this position.
Responsibilities
Be the first point of contact for the Clark workplace experience.
Greets clients, visitors, and guests; determines the purpose of each person's visit and directs or escorts him or her to the appropriate location.
Manage office visitor calendar.
Answer, screen, and forward incoming phone calls
Provide general information to callers about the company
Ensure the reception area is tidy and presentable
Create and manage our employee and visitor badges
Receives mail, documents, packages, and courier deliveries and delivers or distributes items.
Accept catering orders and contact appropriate parties.
Conference room coordination.
Coordinate vendors on site.
Manage reception area, client-facing conference room, and guest refreshment center.
Control parking validations for Bethesda and McLean offices
Process payments in our Coupa procurement system
Help with expense reclassification
Manage Brookfield reservation and facility request system.
Track various items including budgets, vendor COIs, and other facility-related items.
Other duties as assigned
Basic Qualifications
Proven work experience as a Receptionist, Front Office Representative or similar role
Proficiency in Microsoft Office Suite Google Suite experience is a plus
Professional attitude and appearance
Solid written and verbal communication skills
Ability to be resourceful and proactive when issues arise
Excellent organizational skills
Multitasking and time-management skills, with the ability to prioritize tasks
Customer service attitude
Reliable
Ability to anticipate needs of the office

Physical Requirements
Prolonged periods of sitting at a desk.
