Description

The Auxiliary Programs Coordinator is a full time 12-month position that reports to the Director of Auxiliary Programs. The Auxiliary Programs Coordinator will work closely with the Director of Summer Programs and Director of Extended Day and After School Enrichment Programs; supporting and coordinating various Auxiliary Programs offerings which include Extended Day, ETC classes, weekend clinics, one-day workshops, Private Music Lessons, Summer@Potomac, trips and any other initiatives/programs led by the Office. The core hours for this position are 10:00 am -6:00 pm, Monday-Friday.

Duties and Responsibilities:
  • Propose, develop and implement new program ideas, objectives, and strategies for different Auxiliary Programs offerings including Summer@Potomac, ensuring that the ideas are aligned with the school's mission. Research and assess the feasibility of new program ideas, including budgeting and resource requirements.
  • Support with the planning, organizing, and coordinating logistics for different Auxiliary Programs offerings. Assist in coordinating schedules, spaces, supplies needed for different programs ensuring timely delivery and execution.
  • Support the promotion and marketing efforts of all Auxiliary Programs offerings, including Summer@Potomac to attract participation and engagement from the target audience.
  • Support the Auxiliary Programs office by managing registration for all of its programs, including Summer@Potomac addressing parent, faculty/staff inquiries via phone and/or email.
  • Assist in maintaining a database, including financial record-keeping in Campbrain for all Auxiliary Programs offerings, including Summer@Potomac.
  • Work closely with all the vendors, being the primary liaison for both Auxiliary offerings during the school year and Summer@Potomac.
  • Support the Director of Extended Day in running day-to-day operations of the Program ensuring that all after-school activities run smoothly.
  • Support the Director of Extended Day program on Professional Development Days and Parent Teacher Conference days to manage and support the program offered to the community.
  • Actively engage and participate in all after-school programs which may include supporting students in their homework, creating and leading fun activities, leading recreational/outdoor play and any other programs that are aligned with the school's mission.
  • Work closely with the Director of Summer Programs and Director of Extended Day and After-School Enrichment Program to ensure that the webpages for all Auxiliary Programs offerings on The Potomac School's website and Summer@Potomac are up-to-date.
  • Manage and maintain social media accounts for Summer@Potomac ensuring that the marketing strategies help with the marketing initiatives for Summer@Potomac offerings.
  • Assist in the hiring process for Summer@Potomac staff members.
  • Support the Director of Auxiliary Programs with the school's trip initiatives, financial reconciliation, financial data analysis and budgeting.
  • Perform all other duties as assigned.


Qualifications:
  • Bachelor's degree required
  • Previous experience of working in a school or camp is preferred
  • Excellent interpersonal skills, a positive attitude, collaborative spirit, ability to work under pressure and a passion for working with children
  • Strong organizational skills and with the ability to navigate multiple responsibilities simultaneously
  • Excellent written and verbal communication skills, including enthusiastic and upbeat customer service skills
  • Detail-oriented and capable of handling logistics and administrative tasks efficiently.
  • Strong group/classroom management skills
  • Creative and enthusiastic about program development
  • Experience with registration and database management software, canva, facebook, Instagram and other social media platforms and ability to quickly learn
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Ability to attend special events and/or meetings outside of the core hours (approximately 5 events in a 12-month period)
