Job description

Founded in 1961, Sandy Spring Friends School is a progressive, coed, academically-rigorous day and boarding school serving approximately 700 students from age three through 12th grade. The campus is located on 140 acres in the historic Sandy Spring area of Montgomery County, Maryland, and the School is approved by the Maryland State Board of Education and accredited by the Association of Independent Maryland Schools.

2024 - 2025 Upper School Registrar, Full time

Summary: The Upper School (grades 9-12) seeks a Registrar. We seek a dynamic, creative, and multifaceted professional for this full-time position. The registrar processes registration requests, schedules classes and maintains academic records for all Upper School students, about 300 students. Candidates will support the mission of the school and its core Quaker values.

Responsibilities:
  • Maintain academic records and manage requests for transcripts and recommendations for current and past upper school students.
  • Assist with planning and execution of course registration, including scheduling for all upper school students.
  • Coordinate new student placement testing and initial academic planning conversations.
  • Assist with creating and managing student and faculty schedules including add/drop.
  • Manage Student Records including student information, transcripts, interims and report cards
  • Assist with transfer of academic information from learning management system to student information system.
  • Manage and maintain information in college counseling management platforms.
  • Maintain and manage calendar and appointments for Head of Upper School.
  • Facilitate communication to Upper School constituents from administration.
  • Assist with planning functions throughout the year such as faculty luncheons, meetings, conferences, back-to-school night and graduation; assists in the planning of field trips, retreats, open house, and shadow visits. Assist with the planning and execution of College Counseling events.
  • Act as back up for Administrative Assistant/Receptionist in the upper school
  • Support college counselors on day-to-day office needs, including answering college counseling questions, interacting with office visitors, coordinating college counseling program calendar, and college admission representative visits.
  • Other duties as assigned.

Requirements:
  • Bachelor's degree preferred.
  • Two years of office and registrar experience preferred.
  • A high level of proficiency is required with Google Suite; experience with Microsoft Office/Office 365 is a plus.
  • Experience with databases (data entry, report generation, etc.); experience with Veracross and MAIA learning is a plus.
  • Demonstration of excellent written and verbal communication with attention to detail.

Physical Requirements: Daily desk work includes significant amounts of telephone and computer time as well as mobility around the entire campus. This includes frequent walking inside and outside, maneuvering stairs as a part of daily routines. Bending and squatting as required to participate in activities; lifting/carrying boxes up to 25 pounds; and the ability to maneuver as necessary within a regular classroom and office setting.

Please note that the School has a mandatory COVID-19 vaccination policy, which requires that all employees be fully vaccinated against COVID-19 and provide proof of vaccination, which includes a bivalent dose of the vaccine given on or after 9/1/2022.
