OUR EXECUTIVE ASSISTANT POSITION

The primary purpose of the EXECUTIVE ASSISTANT job is to provide executive/administrative level support to the Business Growth and Resource Development Departments in general and to provide direct administrative support to the Vice Presidents of Business Growth and of Resource Development.

The EXECUTIVE ASSISTANT will interact with internal colleagues, lay (volunteer) leaders, donors, vendors, and external visitors.

All associates are expected to work diligently to support the mission, vision, and values of Charles E. Smith Life Communities.

The Executive Assistant is supervised by the VP, Resource Development and VP, Business Growth. The Executive Assistant has the authority, responsibility, and accountability necessary to conduct assigned duties. The EA has no budgetary authority but may be requested to provide information and support necessary to complete assigned tasks within a particular budget.

LOCATION
This position is based in the Development Department in the Dekelboum Building, located at 6101 Montrose Road in Rockville, Maryland.

SHIFTS & STATUS
This is a Full Time, Exempt position with Monday through Friday schedule.

MAIN RESPONSIBILITIES
  • Managing the work schedules and calendars for the VP of Resource Development and the VP of Business Growth (including making travel arrangements).
  • Maintain records (donor and resident) in databases and in hard files and in sales CRM.
  • Answering phones and routing calls to the correct person or taking messages.
  • Composes and prepares correspondence for signature.
  • Orders supplies for the departments.
  • Approves invoices in Ipayables as directed.
  • Processes payroll in Dayforce as directed.
  • Initiates requests for service for copiers and other equipment.
  • Arrange for meetings, conferences, etc., as directed.
  • Prepares meeting rooms and refreshments, distribute minutes and agendas, as required; Including sales events across campus
  • Receive and screen office visitors and telephone calls as directed.
  • Event Support - provide administrative and database support for CESLC events.
  • Reconciles credit card statements monthly for both vice presidents.
  • Adds and updates attendance for committee meetings in Raiser's Edge
  • Prepares packets and slides for RD committee meetings
  • Accurately records, prepares, and distributes minutes from meeting
  • Updates website/social media/marketing automation as needed.
  • Supports marketing events and functions with RSVPs, event set-up, agendas, collateral material, CRM support, etc.
  • Prepares pitch kits and collaterals for the sales department with the support of the volunteer department.
  • Serves as primary liaison with software vendors and internal support person for voice of the customer and customer relationship management (CRM) systems. Responsibilities, include adding and removing users and requesting service assistance.: add/remove new user, request service assistance, etc.
  • Become familiar with and follow CESLC Standard Operating Procedures (SOPs).
  • Maintains promotional items and marketing collateral materials minimums and orders new materials as directed.
  • Other duties as assigned by departments of Business Growth and Resource Development

EDUCATION & EXPERIENCE
  • Must possess, as a minimum, a high school diploma or equivalent.
  • Must have, as a minimum, five (5) years administrative assistant experience with three (3) years' experience reporting to senior level staff.
  • Proficient in Word, Excel, PowerPoint, and Outlook.
  • Knowledge of Raiser's Edge (CRM) preferred.
  • Ability to multitask and prioritize tasks.
  • Attention to detail.
  • Excellent time management skills
  • Excellent verbal and written communication skills.
