Event Coordinator for Hillsdale in D.C.

Job description

Overview:

The Event Coordinator is responsible for supporting and executing Hillsdale in DC events both at Hillsdale in D.C. and off-site locations. The Event Coordinator is also responsible for general event vendor management and team events support and will report to the Director of Educational Programs.



Responsibilities:

Support the administrative planning and operational preparation for Hillsdale in D.C. events, including but not limited to the Van Andel School of Government, James Madison Fellowship retreat, alumni programming, Washington-Hillsdale Internship Program, and public events. This includes events hosted on some evenings and weekends.
Assist with event advertising (e.g. Eventbrite and Paperless Post invitations), vendor management, invitations, furniture set-up and tear-down, registration, book sales, and delegation of staff duties.
Maintain general working knowledge of and assist with management of audio/visual systems.
Assist in the preparation of regularly scheduled event reports and records of activity.
Support external group events hosted at Hillsdale in D.C., including receiving and processing all external event requests.
Contribute to creative planning of events in coordination with Staff Leads and the programming team.
Order catering and food delivery based on event requirements as determined by and in coordination with Staff Leads.
Book videographer/photographer based on event needs as determined by and in coordination with Staff Leads.
Ensure event rooms and classrooms are available and set-up appropriately for events.
Assist with coordinating the Van Andel School of Government weekend class operations.
Ensure event contact lists are updated in various databases and maintain Box folders for Events and the James Madison Fellowship.
Proactively identify and address gaps and issues with events as they arise and provide additional event assistance as needed.
Serve as general administrative and operational support for Hillsdale in D.C.



Qualifications:

Individual must possess such knowledge, skills and abilities, or be able to explain and demonstrate that the individual can perform the essential functions of the job, with or without reasonable accommodation using some other combination of skills and abilities.

Education and Experience

This position requires a Bachelors degree. Preferred experience in administration and event planning.

3. Strong attention to detail particularly related to run of shows, event invitations, staff event assignments, and general event lists.

6. Strong ability to maintain deadlines.
7. Ability to manage numerous tasks while setting appropriate priorities to achieve goals.
