Where You Will Work

The SIGINT Front Office is seeking a highly qualified and energetic Lead Special Assistant to serve in the SIGINT Front Office (SIFO) supporting the Director, SIGINT (D/SIGINT). This individual must be highly organized and a self-starter that displays initiative, diplomacy and strong collaboration skills.

This position requires the incumbent to demonstrate an understanding of SIGINT organizational objectives when prioritizing, scheduling, and/or de-conflicting meetings. In addition, they must be able to network and interact with senior leaders, including other DoD and IC Seniors and the NRO Front Office, and their executive staffs to ensure close coordination on all scheduling, documentation, record-keeping, and logistical requirements.

The incumbent of this position will serve as the Lead Special Assistant and directly supervise one other administrative assistant on the SIFO staff as well as overseeing Government and contractor administrative assistants in the Directorate. This position requires the demonstrated ability and expertise to lead, manage, and mentor.

In addition, the incumbent of this position will have portfolio management responsibilities that include, but are not limited to establishing and formalizing standard operating procedures for the SIGINT Front Office administrative functions, and setting expectations and strategic objectives for a robust administrative team as well as event coordination and management.

This is a high-level support position requiring the individual to be mission-focused, results-oriented, and flexible in order to meet the challenges and ever-changing needs of the organization. This position requires the ability to maintain an excellent working relationship with the entire management team and agency.

What You Will Be Doing
  • Track and monitor on-going projects and initiatives.
  • Coordinate frequent CONUS and OCONUS travel arrangements and itineraries, meetings, and conference calls.
  • Provide direct support to D/SIGINT for coordination of foreign and domestic travel from the original request through voucher completion in eTrip.
  • Respond to ad hoc requests for support and resolve unexpected scheduling conflicts with creativity and professionalism.
  • Collaborate on a daily basis with Special Assistants across the NRO on meetings and upcoming events to ensure D/SIGINT is prepared.
  • Perform initial editorial review of executive correspondence to ensure formatting, packaging, classification, coordination, grammar, and spelling adhere to the NRO Correspondence Handbook.
  • Refine administrative processes and workflows for the SIGINT Front Office with SIGINT program offices, and other D/Os.
  • Manage complex workflow within a continuously changing and often ambiguous environment, staying abreast of short deadlines and handling critical, sensitive, and confidential issues with utmost discretion.
  • Maintain and update standard operating procedures on SIGINT's administrative functions.
  • Be proactive in improving and creating processes to improve the quality and efficiency of executive correspondence.
  • Participate as needed in the Tracking Information and Enterprise Response (TIER) Action Tracker in support of administrative workflow and processes and other duties as assigned.
  • Maintain records and files according to NRO records management guidelines.
What You Need
  • Expertise and knowledge of executive correspondence, demonstrated excellence in written and oral communication skills.
  • Demonstrated excellent time management, prioritization, and organizational skills.
  • Strong representational skills and demonstrated ability to present information in group settings.
  • Solid understanding of the NRO's missions.
  • Strong interpersonal skills and the ability to develop and sustain relationships across the organization, to include senior level offices.
  • Prior work experience writing and editing products.
  • Proficient using Microsoft Word, Power Point, and Excel.
  • Ability to prioritize and manage multiple tasks, and work well under pressure while exercising tact and diplomacy.
  • Excellent problem solving and negotiating.
  • Task management experience reviewing correspondences & documentation, planning, and developing responses to emails, correspondences, action items, and taskings; plan and manage priorities and response progress, coordination and collaboration; and track incoming taskings and progress against actions from internal and external sources.
Qualifying experience may have been acquired in any public or private sector job, but will clearly demonstrate past experience in the application of the particular competencies/knowledge, skills, and abilities necessary to successfully perform and is typically in or directly related to the duties of the position as described above. Experience must be reflected in your resume.

Salary

2024 salary range for the Washington, DC area:

GG-13 $117,962 - $153,354.

**This position is a full performance level DCIPS position. The NRO is accepting applications from U.S. Citizens and current federal government employees for this position. Hiring Incentives

The NRO may offer hiring incentives and other entitlements at management's discretion.

Trial Period

All new DCIPS employees will be required to serve a 2-year trial period.
