Employment Specialist

Job description

The Employment Specialist will ensure that all inquiries on hiring, onboarding policies and procedures are handled according to our company standards. The Employment Specialist will identify potential issues and opportunities for improvement for our Branch Operations Team. The Employment Specialist will assist in improving employee retention through the development and implementation of improved employee relations methods, including the employee onboarding experience. The Employment Specialist will work with all hiring managers, as an employee advocate, to ensure that our practices are consistent with our core values of Trust, Respect, Understanding and Enthusiasm (T.R.U.E.).

The incumbent will process new hires through the automated onboarding process and related paperwork and establish the employment relationship in the necessary systems. There will be significant cross training with other functions within the Human Resources Department. The Employment Specialist will work closely with the HR Business Partners and the Benefits team to assist with medical support notices, maternity care management and new hire benefit orientation, 401k file transfers and other special projects as assigned.


Recruiting/Selection/Hiring

  • Review a qualified pool of candidates to support timely hiring of new employees for Home Office.
  • Review and manage all requisitions in the system of record.
  • Collaborate with hiring managers to understand required knowledge, skills, and abilities necessary for success in the open positions.
  • Review employment applications and job requisitions to match applicants with job requirements.
  • Arrange interviews and send out confirmations to candidates.
  • Handle questions and inquiries from candidates.
  • Assist in performing background checks and drug tests for potential employees when needed.
  • Assist with offer letters when needed.

Operations Support

  • Assist in coaching managers on Human Resources best practices and policies regarding interviewing and selection, on-boarding, and new hire orientation.
  • Assist with employee relations issues, work complaints, or other employee concerns.
  • Ensure consistent implementation of HR policies and procedures across company operations.
  • Troubleshoot all onboarding issues.

Human Resources Administration

  • Complete employment verifications.
  • Create individual files for new employees for non-automated information.
  • Ensure new hire paperwork is completed in a timely manner for each new hire.
  • Assist the Benefits Department with special projects and cross training.
  • Assist in processing unemployment claims.
  • Perform Human Resources best practice audits.
  • Manage monthly random drug tests.
  • Manage monthly I-9 forms for terminated employees.
  • Assist in password resets for HR systems.
  • Manage dependent documentation verification process.
  • Assist with all employee questions.
