Student Support Specialist

Job description

**Purpose:** The Student Information Specialist reports to the Registrar and is responsible for supporting and serving the students, alumni, and faculty by attending to tasks such as the processing of transcripts, assigning and maintaining classrooms, and assisting students with special registration needs and maintain student electronic files.

**Job Responsibilities:**

* Processes all mail and in person requests for Academic Transcripts

* Assist with Transcript Emulations and Data Entry

* Process and Complete the electronic student file rotation

* Handles all Classroom Assignments every Semester

* Maintain Classroom spreadsheet and schedule non-course use of classrooms

* Process Student Data Verification Forms

* Maintains FERPA holds in Colleague

* Attend meetings, campus events and training as needed.

* Assist with Commencement events

* Process and mail diplomas to students not attending Commencement

* Answer student, faculty, and staff questions regarding academic Policies

* Processes stop-outs and withdrawals for all students.

* Processes grades

* Manages waitlists and no shows.

* Assist with independent and directed study, internship and cross registration

* Perform other duties assigned by Registrar

**Education/Experience:**

An Associate degree required. Some prior experience in an education environment preferred. Experience with Datatel's Colleague student database would be a plus. Proficiency in Microsoft Word, Access and Excel required. The successful candidate will have a high level of integrity, ethics and professionalism. The successful candidate must be self-motivated, willing and able take initiative, and able to work both independently and with a team. Attention to detail and high level of patience required along with a sense of humor.

**Communication Skills/Requirements:**

Able to effectively communicate verbally and in writing. Strong interpersonal skills combined with a genuine concern for people, a good memory for names and faces, and the ability to listen and to relate with people of all ages and walks of life are required for this position. This position requires professionalism, competence and a positive demeanor in the performance of all duties and when interacting with people within and outside the University Community.

**Reasoning Ability:**

Most work is of moderate complexity and requires some judgment depending on departmental needs. Able to follow instructions and directions requiring normal periods of concentration. Must be able to determine when a situation should be referred to the Registrar. Must be able to manage, organize and prioritize multiple tasks.

**Physical Demands:**

Routine physical demands for office environment. Operates all office equipment such as computer, copier, facsimile machine, printer and telephone. While performing the duties of this job employee is frequently required to stand, walk, sit, use hands to finger, handle or feel, and reach with hands and arms. The employee may occasionally be required to lift and/or move up to 25 lbs.

**Work Environment:**

Office. Exposed to minimal hazards in the office. Occasional evening and weekend work is also required for special events such as graduation and registration.
