Accounting & Administrative Assistant

Responsibilities:

  • Accounting & Administrative Assistant will support Grants, Contracts & Compliance Team:
    • Accounting & Administrative Assistant will review invoices to match alongside the independent consulting agreements and purchase orders to confirm they've been invoiced correctly. Our client processes invoices on a weekly basis, approx. 50/week.
    • Accounting & Administrative Assistant will not be entering data into the system, this person will be reviewing electronic copies of forms.
    • Communication with consultants regarding any adjustments related to the deliverables. Accounting & Administrative Assistant role will have heavy internal communication.
    • Coordination with finance team to confirm they've received the payment package.
    • Monitoring a few email inboxes - There are a few listservs for purchasing team; will confirm receipt of new responses received. Helping track the responses for consultant management then update an internal calendar.
  • Accounting & Administrative Assistant will support Finance Team:
    • Mainly data entry into Navision accounting system - will mostly be for AP

Requirements:

  • Previous AP or general accounting experience
  • 1+ year of corporate administrative experience required for Accounting & Administrative Assistant role
  • Experience utilizing MS Office Suite - Word, Outlook, Teams, Excel (basic formulas, add, sort). Basic PowerPoint knowledge would be helpful not required
  • Associate's or Bachelor's degree in Accounting or Finance preferred
  • Previous government contracting experience is a plus but NOT required
  • Previous nonprofit experience is a plus but NOT required
  • Previous Navision experience is a plus but NOT required
  • Previous Concur experience is a plus but NOT required

Personality Fit:

  • Strong written and verbal communication skills - will speak with internal employees and external consultants
  • Ability to work independently because team is busy but available to respond to questions
  • Able to adjust priorities as needed (e.g. which invoices working on)
  • Agile, willing to assist wherever needed
  • Detail oriented and eager to learn
  • Team player
